Executive Personal Assistant (Essex County, NJ based)
Our client is an established organization in business for over 40 years.
They are currently seeking a responsible, high-energy individual for their open Executive Personal Assistant position. The Executive Personal Assistant will manage the day-to-day operations for the President in an office environment as well as supporting this Executive and family on a personal level. The ideal candidate is well organized, flexible, thorough, and self-motivated, with experience in handling a wide range of corporate administrative responsibilities. The ideal candidate must be able to work with minimal supervision and demonstrate professional written and verbal communication skills.
About the job
- Proactively maintain the executive's busy and fluid calendar for both personal and business.
- Act as first point of contact as necessary.
- Able to be resourceful and proactive in dealing with the day-to-day issues along with events/problems that arise quickly.
- Schedule, coordinate and keep the executive up to date on personal and professional events, meetings, and appointments.
- Manage personal appointments for executive and family including doctor's appointments, home repair and maintenance for multiple houses.
- Liaise with personal driver and Executive's family on a regular basis.
- Personal shopping as needed and management of returns and refunds.
- Manage personal finance payments for vendor accounts, health claims, etc., using Quick Books.
- Manage professional and personal correspondence, emails, phone calls, mail, invitations, etc.
- Seamlessly research, plan and manage travel arrangements, both domestically and internationally, accompanied by detailed itineraries for Executive and family.
- Ensure Executive suite is organized and maintained each day.
- Manage ad hoc both personal and professional projects as needed.
- Represent the executive and organization in a professional, polished, and intelligent manner.
Job Qualifications
- Must have at least five years' experience working with the C Suite-Level.
- Proficiency in MS Office (MS Word, MS Excel and MS Outlook)
- Proficiency in Quick Books
- Excellent written and verbal communication skills
- Must have experience working in fast-paced environments where the utmost discretion and confidentiality are required.
- Ambitious and detail oriented; willing to learn and initiate new and improve processes where needed.
- Enjoy the role of a gatekeeper while maintaining professional relationships.
- Possess the ability to work quickly without compromising quality.
