Scope of Position:

Coordinate and manage all details for sales groups and conventions, including hotel guestrooms, catering services, food and beverage, and banquet facilities. Ensure the maximization of room, food, beverage, and meeting room rental revenues and profits while maintaining a high level of guest satisfaction.

Primary Responsibilities:
  • Client Relationship Management:
    Establish and maintain strong relationships with clients after the initial booking by the sales team.
  • Event Detailing:
    Oversee all aspects of group and convention planning-including guest rooms, meeting spaces, food and beverage, off-site events, exhibits, and audiovisual needs. Confirm all details in writing via Event Orders and/or Group Resumes to clients and all relevant departments.
  • Contract Negotiation:
    Negotiate guest room rates, food and beverage pricing, meeting room rental, function space, and hotel services within approved guidelines, particularly when original commitments are not met or adjustments are needed.
  • Revenue Management:
    Manage and enforce room rental sliding scales and cancellation clauses as outlined in the sales contract.
  • Room Block Management:
    Monitor room blocks and pick-up through rooming lists and cut-off dates. Accurately forecast room pick-up, banquet revenues, and potential cancellations. Communicate regularly with sales managers regarding changes.
  • Sales Support:
    Assist sales managers by conducting hotel and banquet facility tours. Entertain qualified prospective clients in accordance with company and property standards.
  • Marketing Plan Execution:
    Support the Director of Sales and Director of Catering in implementing and achieving the property's marketing strategies.
  • Event Coordination:
    Collaborate with clients on menu planning and coordinate all aspects of event execution, including food, beverage, meeting room setups, decorations, and additional requested services. Ensure seamless communication and execution to meet client specifications.
  • Documentation & Meetings:
    Prepare and distribute detailed Group Resumes. Lead pre-convention and post-convention meetings as necessary to ensure successful event execution.
  • Guest Service:
    Respond promptly and professionally to client requests. Ensure follow-up to guarantee client satisfaction.
  • Professional Standards:
    Maintain a polished, professional appearance and behavior at all times. Adhere strictly to company policies and procedures.
