Position Overview

The Executive Legal Assistant will provide high-level administrative and organizational support to senior legal leadership. This role requires exceptional communication skills, strong attention to detail, and a deep understanding of legal processes. The ideal candidate will be proactive in anticipating the needs of the executive(s), demonstrate excellent judgment, and ensure the legal department operates with efficiency and professionalism.

Key Responsibilities

Administrative Support

Manage and maintain complex calendars, including scheduling meetings, hearings, and other events.

Coordinate domestic and international travel arrangements, accommodations, and itineraries.

Screen and direct incoming phone calls, emails, and correspondence, responding or escalating as needed.

Document Preparation & Management

Draft, edit, and proofread legal documents, correspondence, and presentations.

Manage the organization and maintenance of both electronic and physical files.

Ensure legal documents are filed correctly and in a timely manner with courts, government agencies, or other relevant parties.

Meetings & Communication

Prepare agendas, draft minutes, and track action items for key meetings.

Coordinate conference calls, video conferences, and board meeting logistics.

Serve as a liaison between the legal department and internal/external stakeholders, ensuring clear and timely communication.

Confidentiality & Compliance

Handle sensitive and confidential information with the utmost discretion.

Ensure compliance with company policies, legal regulations, and ethical standards.

Assist with the implementation and monitoring of compliance programs, if needed.

Qualifications & Requirements

Education: Bachelor's Degree preferred (focus in Legal Studies, Business Administration, or related field a plus). Paralegal or equivalent certification strongly preferred.

Experience: 3-5 years of proven executive-level administrative experience, preferably in a law firm or corporate legal department.

Key Competencies: Excellent written and verbal communication skills.

Strong organizational skills and attention to detail.

Ability to handle multiple tasks, prioritize effectively, and meet deadlines in a fast-paced environment.

High level of professionalism, confidentiality, and discretion.

Strong interpersonal skills with the ability to build effective relationships across teams and with external stakeholders.
