We are Hiring. LHH is seeking a highly skilled and professional Legal Executive Assistant to join a dynamic legal team. This pivotal role will serve as the main point of contact between attorneys and clients, providing exceptional support while ensuring seamless communication. The ideal candidate will be a detail-oriented self-starter, capable of handling multiple assignments with discretion, maintaining confidentiality, and managing a fast-paced workload with minimal supervision. Flexibility to work occasional overtime is required.

Key Responsibilities:

  • Manage and maintain busy calendars, emails, and phone communications, scheduling appointments as needed.
  • Coordinate and organize complex travel arrangements.
  • Maintain and update client files and contact lists.
  • Handle document management tasks, including drafting, transcribing, proofreading, and producing correspondence.
  • Conserve attorney time by reviewing, researching, and routing correspondence appropriately.
  • Screen, monitor, and respond to incoming communications, ensuring timely distribution.
  • Process expense reimbursements, manage expenditure reports, and reconcile credit card statements.
  • Handle client billing, collections, and time entry.
  • Manage client relationships through regular communication with opposing counsel, courts, and clients.
  • Oversee client engagement and conflicts processes.
  • Assist in business development initiatives and prepare filings.

  • Highly organized with an exceptional eye for detail and the ability to manage multiple tasks and priorities under pressure.
  • Proactive, results-oriented, and able to take initiative with minimal supervision.
  • Strong interpersonal skills and the ability to collaborate effectively in a team setting or independently.
  • Excellent time management, problem-solving, and communication skills.
  • Ability to adapt quickly to new situations and work under tight deadlines.
  • Willingness to be responsive outside of regular business hours when needed.

Qualifications & Experience:

  • A minimum of 8-10 years of experience as an executive or administrative assistant in a professional or legal setting.
  • Bachelor's degree or equivalent experience preferred.
  • Proficiency in Microsoft Office Suite (Word, PowerPoint, Excel, Outlook) and other office technologies.
  • Experience with document management systems is highly desirable.
