Our client, a welcoming family of three, has built a home where intentional living and meaningful connections are just as important as efficiency. Based in Brooklyn, they prioritize simplicity over excess and value a team that operates as trusted collaborators rather than traditional staff. They are seeking an Executive-Level Personal Assistant (Chief of Staff in function, though not in title) to anticipate needs, navigate challenges seamlessly, and cultivate an environment that supports their lifestyle with ease and authenticity. Please note - the ideal candidate has private, in-home experience. This is not an office position.
The ideal candidate is also highly organized, perceptive, and thoughtful, with the ability to anticipate needs and take action without requiring detailed instructions. You bring structure without rigidity, initiative without overstepping, and a strategic mindset that keeps operations running smoothly. As a true team player, you understand when to take the lead, when to provide support, and when a casual conversation can be just as impactful as a formal meeting.
Most importantly, this is a role for someone who blends naturally into a home environment. The principals are deeply engaged in their own lives and creative projects, and they need someone who can stay one step ahead without being intrusive-someone highly capable yet deeply human, professional yet warm, organized yet adaptable.
- Work schedule: The schedule is Monday through Friday, 9 AM to 5 PM, with required flexibility for after-hours texts and calls as needed. The client is respectful of boundaries but expects availability beyond standard hours when necessary.
- Relocation: Local candidates will be prioritized, but the client is open to relocating an exceptional candidate for this role.
Responsibilities: - Serving as the single point of contact for all household and administrative needs, ensuring everything runs smoothly behind the scenes.
- Balancing big-picture strategic thinking with hands-on execution-whether it's overseeing household operations, coordinating vendors, or simply making sure the small things don't fall through the cracks.
- Supporting family office functions, including hiring and onboarding household staff, paying bills, liaising with the tax team, and keeping organizational systems minimal yet effective.
- Managing household coordination for multiple properties.
- Travel coordination and management, including overseeing travel logistics, including to other properties - often traveling ahead of the principals to set up their residences.
- Calendar coordination and management - scheduling appointments, filling relevant paperwork, etc.
- Occasionally supporting creative projects and events, from holiday gatherings to beautifully designed tablescapes - a nice to have, not a requirement.
- Bringing good energy and a team-first mindset-this is a household where kindness, respect, and collaboration are valued.
- Partnering with the principals in a way that feels natural and personal-acting as a trusted sounding board and guide rather than a rigid gatekeeper.
- Take a proactive approach to keep things on track for the principals by sending timely reminders, following up as needed, and ensuring nothing falls through the cracks.
