Job Title: Executive Director- Christian Based Non-profit

Reports to: President of Organization

Employee Classification: Full-time, hourly, non-exempt

Schedule: Monday to Friday 8:30AM-5:00PM, 40 hours

General Summary:

Monitor and advise the team in their overall functions and operations to reflect the mission statement of the organization and the goals and objectives of each individual department. Implement policy changes under the directive of the CEO/President and Board. Decision maker for each department, when needed, regarding the day-to-day operations of the facility. Communicate consistently with the CEO/President and the board of directors.

ESSENTIAL DUTIES AND RESPONSIBILITIES (included but not limited to):


General Operations:

Manage office services by organizing office operations and procedures.

Ensure adequate supply and functioning of office equipment and supplies

Maintain strong communication with staff, setting the tone to reflect the overall vision of the organization.

Monitor the Dashboard and ensure follow through on the goals and vision of the One Page Plan.

Coordinate special events for members.

Assist in facility improvement and maintenance decision making.

Approve departmental spending.

Conduct bi-weekly staff meetings.

Schedule 1:1 weekly meetings with department leadership.

Creation and implementation of a one-page plan for each department.

Creation and updating job descriptions for every position.

Manage each of the Workforce Development departments (front desk, janitorial, kitchen).

Remain on-call 24 hours, 7 days a week for Workforce Development department needs and emergencies.

Human Resources:

Hire staff by posting positions on job boards and employment websites, screening applicants, and interviewing applicants.

Process all onboarding and exit paperwork for employees.

Ensure new employees are provided with necessary technology hardware and access.

Enroll and remove employees in benefits programs.

Implement and enforce guidelines of the Exodus Place Employee Handbook.

Keep standard operating procedures and job descriptions updated regularly.

Audit employee time sheets weekly, making edits as needed.

Complete employee 12-month and 90-day reviews.


Board of Directors:

Prepare and file reports and other information for the Board.

Communicate with the Board on upcoming meetings, events, and community opportunities.

Assist Chairman of the Board in preparing materials for Board Meetings.

Provide documentation of the board meetings.

Attend quarterly board meetings.


Marketing/Social Media:

Ensure social media posts are being made regularly and reflect the mission and values of Exodus Place.

Approve social media and marketing material before final distribution.

Send monthly updates to emails in the Exodus Place donor database via Constant Contact.

Assist marking department keeping website fresh and updated

Monitor and reply or forward messages received by the public facing Exodus Place email address.

Conduct weekly marketing meetings to assess current marketing strategies and discuss future opportunities.

Donor Development:

Ensure donations are being collected and recorded properly

Ensure thank you letters and other correspondence are being sent out in a timely fashion.

Plan, coordinate, and oversee annual fundraising (e.g. Gala, Side-by-side, Golf Outing, Roof Sit, Year End Ask).

Coordinate sponsorships for fundraising events.


Kitchen:

Plan a weekly kitchen menu consisting of 21 meals.

Write a weekly schedule for Kitchen staff and workforce development.

Input orders for Gordon Food Service, Feeding America, and Atlas Restaurant Supply every week.

Partner with food donors to arrange drop off and pick up of donations to ensure kitchen needs are met.

Hold a minimum of one meeting per month with Kitchen staff and workforce development.

Ensure the weekly kitchen cleaning checklist is completed to standard.

Coordinate with volunteers for kitchen needs (e.g. serving, cleaning, organizing etc.).


Facilities:

Write a weekly schedule for janitorial and maintenance departments.

Complete a weekly building inspection and provide directions to janitorial and maintenance staff regarding deficiencies.

Assign and ensure work orders are completed and processed in a timely manner.

Hold a minimum of one meeting per month with Janitorial staff and workforce development.

Input orders for cleaning and building supplies from Atlas Restaurant Supply.


Front Desk:

Write a weekly schedule for the Front Desk department.

Complete a weekly inspection of the Front Desk and lobby area and provide directions to Front Desk staff to correct deficiencies.

Hold a minimum of one meeting per month with Front Desk staff and workforce development.

Implement and update Front Desk Manual.


Community Service:

Coordinate with Friend of the Court regarding community service work to be completed at Exodus Place.

Supervise community services workers while on Exodus Place property.

Provide Friend of the Court documentation of service hours completed.

Provide Friend of the Court feedback on each service workers' performance.

Provide community service workers with task lists to complete.


Qualifications, experience, and expectations:

Minimum 4 year degree.

CRM Database experience preferred (Donor Perfect)

High attention to detail

Excellent verbal & written communication skills

Strong problem-solving skills

Computer literacy, including competency in Microsoft Office Suite, email, Internet, and other appropriate software.

Ability to organize, multi-task and effectively function in a fast-paced environment.

Ability to work independently under minimal to no supervision.

3+ years in leadership/management experience
