Job Title:Executive Associate to the Vice President for Student Experience
Pay Rate:$66,314 - $72,945 annually

Position Summary:Position Summary:
This position provides high level administrative and confidential support to the Vice President for Student Experience (VPSE). The Executive Associate is responsible for directing, controlling, and managing Student Experience operations, and facilitates workflow and manages access to the VPSE. This position develops systems and procedures to manage communication to and from the office, special projects, reports, and presentation materials, and plans and facilitates meetings and events. This position works collaboratively with the Associate Vice Presidents, Directors, and Managers of the Student Experience unit. Additionally, the Executive Associate provides training, direction, and support of the Student Experience support staff. The Executive Associate be able to work efficiently in a fast-paced environment, have strong organizational and communication skills with the ability to anticipate the needs of the VPSE, always maintain a professional demeanor, and work effectively with a wide range of constituencies in a diverse community.
Essential Duties and Responsibilities:
The following are the functions essential to performing this job:
1. Serve as the point of contact for the VPSE, exercising good judgment when directing calls and visitors and using discretion to make inquiries and resolve matters effectively.
2. Manage the daily operations of the Office of the Vice President for Student Experience, ensuring efficiency and quality service delivery to students and employees.
3. Support high-priority initiatives by coordinating collaboration across departments, tracking deliverables, and managing timelines.
4. Assist the VPSE in developing and executing strategic plans, including data preparation, research, and summarizing findings for informed decision-making. Manage workflow for special projects and proactively support project completion.
5. Collaborate with the VPSE to facilitate and implement initiatives that enhance office
effectiveness, developing strategies and ensuring successful execution of key projects.
6. Assist with the Student Experience budget development process, including projections, recommendations, purchase orders, vouchers, budget transfers, and ongoing monitoring of expenditures. Prepare expense reports as needed.
7. Perform extensive calendar management for the VPSE and Student Experience, including meeting scheduling, room reservations, managing RSVPs, and distributing agendas. Additionally, transcribe and distribute meeting minutes in a timely manner.
8. Review Student Experience activities to ensure they align with policies, strategic priorities, Middle States standards, and other governing initiatives.
9. Create and implement strategic communication plans and draft briefings, speeches, and presentations to support Student Experience initiatives.
10. Conduct research and analysis to prepare reports and presentations for internal and external audiences.
11. Manage the review and revision of College policies assigned to Student Experience, ensuring alignment with institutional goals.
12. Serve on College committees as appropriate, contributing to institutional development and decision-making.
13. Perform other duties as assigned, contributing to the success of the Student Experience office and the VPSE's initiatives.
Required Minimum Qualifications:1. Associate Degree
2. Five (5) years of executive administrative experience
3. Proficient in Microsoft Office and Adobe Acrobat
Desired Qualifications:1. Bachelor's Degree
2. Five (5) years experience in a higher education setting
3. Experience using Peoplesoft & EAB Navigate
4. Excellent oral and written communication skills
5. Proficiency in understanding student development theory and practices
6. Experience using student information systems at a post-secondary institution
7. Experience managing budgets
8. Experience with creating and tracking complex workflows for projects
Work Schedule:8:30-4:30 Monday to Friday
Occasional evenings and weekends required
