ARS is seeking an exceptional Executive Assistant to provide high-level administrative support to the Director and senior leadership team of a government innovation program. This role requires a strategic partner who can anticipate needs, manage complex calendars, and serve as a trusted liaison between leadership and internal/external stakeholders. Responsibilities include: Provide comprehensive executive support to the Director and senior leadership team
Manage complex calendars, prioritize meeting requests, and coordinate with high-level stakeholders
Prepare meeting materials, presentations, and briefings for leadership engagements
Screen and prioritize communications, ensuring timely responses to urgent matters
Organize, attend, and summarize meetings, capturing action items and follow-up tasks
Coordinate travel arrangements and prepare detailed itineraries
Draft correspondence, reports, and other documents requiring senior leadership signature
Serve as a primary point of contact for internal and external stakeholders
Maintain confidentiality and exercise discretion when handling sensitive information
Prepare expense reports and manage administrative budget tracking
Coordinate with other administrative staff to ensure alignment across the organization
Train and supervise administrative support staff as required
Plan and execute special projects and initiatives as directed by leadership
Other duties as assigned
Qualifications/ Technical Experience Requirements: Must be a US citizen
Bachelor's degree in Business Administration or related field (or equivalent experience)
5+ years of experience providing executive-level administrative support
Exceptional organizational skills with ability to manage multiple competing priorities
Strong written and verbal communication skills, with attention to detail and accuracy
Proficiency with Microsoft Office Suite and collaboration tools
Experience managing complex calendars and coordinating high-level meetings
Demonstrated ability to exercise good judgment in sensitive situations
Strong interpersonal skills and professional demeanor
Ability to work independently with minimal supervision
Experience preparing professional presentations and briefing materials
Ability to obtain and maintain required security clearance
Desired Qualifications: Experience supporting government or defense leadership
Knowledge of DoD or federal government administrative processes
Background in innovation, technology, or research organizations
Experience coordinating with senior military or civilian government officials
Advanced proficiency with presentation software and digital collaboration tools
Project management experience or certification
Experience supervising administrative staff
Background in event planning or coordination
Knowledge of protocol for government or military functions
Familiarity with defense innovation ecosystem
