Role Description

This is a full-time hybrid role for an Executive Assistant with CRM knowledge and Inside Sales chops at vdiscovery. The role will be located in Manhattan, NY, with some work from home flexibility. This is not a traditional EA role - you'll be empowered to implement strategic improvements that directly impact company growth.

Executive Support (40%)

  • Manage complex calendar scheduling and prioritization
  • Coordinate client meetings and prepare relevant materials
  • Handle travel arrangements and expense reporting
  • Support with special projects and client-facing documentation
  • Anticipate needs and proactively suggest process improvements

CRM Management & Inside Sales (40%)

  • Maintain and optimize our database of existing clients, contacts, and leads
  • Develop and implement a consistent system for tracking and nurturing relationships
  • Assist with developing sales materials for new offerings
  • Support outreach initiatives to clients and potential partners
  • Help track sales pipeline and identify growth opportunities

Client Support (20%)

  • Serve as a secondary point of contact for key clients
  • Ensure client requests receive prompt attention
  • Assist with meeting preparation and follow-up
  • Help monitor project status and client satisfaction

Qualifications


Must Have

  • Exceptional organization skills with ability to manage competing priorities
  • Excellence in leveraging latest technologies including, but not limited to, Ai
  • Detail-oriented with consistent follow-through
  • Self starter that anticipates needs, taking needed actions based on experience and instinct
  • Professional demeanor side by side with sense of humor and charm
  • Strong written and verbal communication abilities
  • Proficiency with Microsoft Office suite (especially Outlook, Excel, and PowerPoint)
  • Experience in an executive assistant, customer service, or administrative role
  • OR, if newly graduated, strong evidence that you possess the required skill sets in spades

Nice to Have

  • Experience with CRM systems (Salesforce, HubSpot, or similar)
  • Background in ediscovery, legal services, technology, or professional services
  • Experience supporting sales or business development teams
  • Demonstrated project management capabilities
