The Technology division of Affiliated Monitoring is seeking a high-energy, detail-oriented, and results-driven Executive Assistant to support the Vice President of Technology and other technology team leaders.

In this critical role, you will provide exceptional administrative and operational support, ensuring the efficient execution of technology initiatives across the organization. Your financial acumen, organizational skills, and proactive mindset will help drive key projects forward.


Key Responsibilities

  • Collaborate with the VP of Technology on budget planning and ensure team adherence to financial goals.
  • Partner with vendors to manage recurring services, purchases, and contract renewals.
  • Conduct budget reviews, reconcile purchases, and ensure financial records are accurate and up to date.
  • Serve as a liaison between Technology leaders and key stakeholders, including other departments, team members, clients, and external vendors.
  • Draft and edit professional, clear, and concise internal and external communications.
  • Proactively manage complex calendars, schedule meetings, and coordinate travel arrangements for senior executives.
  • Organize and facilitate large-scale team events and meetings, including agenda preparation, note-taking, and follow-up.
  • Prepare and edit presentations, reports, spreadsheets, and other essential documents.
  • Maintain and manage executive files and confidential information with discretion.
  • Support special projects and provide backup assistance to other executive assistants as needed.

Ideal Candidate Profile

We're looking for an exceptional professional with the following:

  • Financial Expertise: Proficient in Excel with demonstrated expertise in financial budgeting and planning.
  • Organizational Excellence: Strong planning, time management, and multitasking skills with keen attention to detail.
  • Communication Skills: Outstanding verbal and written communication abilities to interact effectively at all organizational levels.
  • Problem-Solving Abilities: A proactive problem-solver who thrives in dynamic environments and can successfully manage shifting priorities.
  • Tech Savvy: Experience using Microsoft Office 365 and collaboration tools like Microsoft Teams.
  • Self-Starter: Resourceful, conscientious, and capable of working independently to meet deadlines and achieve results.

Qualifications

  • Experience: 5+ years of progressive administrative support experience, with at least 2 years as an Executive Assistant.
  • Education: Bachelor's degree required, with a background in finance preferred.
  • Demonstrated experience in complex MS Excel, calendar management, travel coordination, and managing executive schedules.
  • Proven track record of handling confidential information with discretion.
  • Strong interpersonal skills and ability to build partnerships across all levels of the organization.
