Position Summary
Brief Description of PSU/School/DeptPosition SummaryThe Executive Assistant (EA) supports the Provost and serves as office coordinator for the OAA suite. The EA will frequently interface between the Office of Academic Affairs (OAA) and other executive offices. Administrators and their staff members rely on the EA as a key resource and trust the confidentiality and accuracy of interactions.
The position requires the exercise of independent judgment and comprehensive knowledge of Portland State University, its academic programs, and its policies. The Executive Assistant is privy to many sensitive and confidential issues. The EA supports the Provost by calendaring and file preparation, meeting/event coordination and agenda development and acts as OAA's first point of contact for the campus community.
Minimum Qualifications - A bachelor's degree plus three years' experience providing executive-level administrative support.
- Proven proficiency with Word, Excel, PowerPoint, and email.
- Experience in complex calendaring.
- Experience in prioritizing multiple projects; and professional experience in a team context with sensitivities to working in a quality management environment with persons of diverse backgrounds and abilities.
- Excellent organizational, problem solving, and time management skills.
Preferred Qualifications - Higher education experience.
- Experience providing confidential executive-level administrative support.
- Experience drafting and editing communications in multiple mediums, including emails, letters, web-based postings and meeting notes/minutes with the ability to address a variety of constituents.
- Experience using Google products.
- Experience participating on and supporting executive-level committees.
- Ability to use sound judgment as it relates to handling sensitive and/or confidential information.
- At least one year supporting an administrator at PSU.

Work Days/HoursTotal Compensation Range & Benefits StatementSalary is dependent on several factors, and new employees will typically start around the Q1 level to allow for later growth within the salary band. PSU has a structured process for determining starting compensation, taking into account years of related experience, applicable skills, knowledge and abilities, market parity, and internal equity. The starting annual salary for this position will be between $48,14 4 - $60,180 but may be negotiated above this rate dependent upon the factors above, the budget of the hiring department, and approval from HR.
