The Executive Assistant to the Chief Information Officer (CIO) provides high-level administrative support to the CIO and the Information Technology Services Department. This position ensures efficient operations of the CIO's office and supports a fast-paced, tech-driven environment, including department-wide communication, data tracking, budget support, and facilitating collaboration across all district departments that rely on technology. This position will also collaborate with and support the district Communications office in a limited capacity.

Essential Duties:
Excellence

• Demonstrates understanding and support of the district's technology mission and innovation initiatives.

• Anticipates departmental needs and proactively addresses workflow and communication gaps.

Organizes and Manages Departmental Operations

• Manages the CIO's calendar, appointments, and travel; prioritizes scheduling based on strategic goals.

• Coordinates and facilitates IT team meetings, trainings, and tech-focused workshops.

• Documentation for IT meetings and ensures timely delivery of reports and milestones.

• Assists with coordination of district-wide technology rollouts, including logistics, communications, and documentation.

Communicates and Collaborates Across the District

• Acts as a liaison between the CIO's office and district departments, schools, vendors, and community partners.

• Prepares Board of Education updates related to technology strategy and innovation.

• Supports internal communication by drafting memos, newsletters, and digital bulletins for the IT Department.

Supports Technology Budgeting and Procurement

• Assists the CIO in managing departmental budgets, including tracking expenditures, processing purchase orders, and reconciling procurement card charges.

• Works with IT staff to monitor software licenses, hardware inventories, and vendor contracts.

• Supports grant reporting and compliance activities related to technology funding.

Drives Process Improvement and Digital Efficiency

• Maintains databases and dashboards related to project management, help desk performance, and system usage metrics.

• Researches, implements, and trains on workflow automation and collaborative tools.

• Participates in process improvement efforts to increase responsiveness and effectiveness of the IT Department.

Builds a Culture of Excellence and Trust

• Upholds the highest level of confidentiality, especially in sensitive IT and cybersecurity matters.

• Demonstrates professionalism and adaptability in a high-paced, evolving digital environment.

• Creates a welcoming and responsive front-line presence for the CIO's office.
Limited Support to Central Registrar and Records Management

• Serves as a backup for the central registrar, assisting with enrollment or records-related inquiries during high-volume periods or staff absences.

• Assists with the organization, filing, and secure handling of student records in accordance with district and legal requirements.

• Supports overflow data entry, scanning, or document processing tasks to maintain accuracy and timeliness in student information systems.

General Responsibilities

• Support the CIO with coordination of emergency response communications involving technology.

• Serve as the custodian of department records and ensure compliance with data security standards.

• Promote and follow Board of Education policies and district procedures.

• Perform additional duties as assigned by the Chief Information Officer.

District Communications Support

• Assists in maintaining and updating content on the district website and supports the use of mass communication tools for district-wide messaging.

• Support data collection on communication strategies.

• Provides logistical and administrative support for district recognition events, including scheduling, communication, and preparation of materials.

Education:

• High school diploma or equivalent required.

• Postsecondary education in business administration, information systems, or secretarial training preferred.

• Criminal background check required for hire.

Experience:

• Minimum of five years in executive-level administrative support roles.

• Experience supporting a technology or IT environment strongly preferred.

• Familiarity with project management tools and technology systems is a plus.

Salary Range: minimum $61,354 to midpoint $75,762
