We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to support our Managing Partner in managing daily operations, coordinating new product launches, and improving internal systems and external communications with our clients. This role will be part-time to start, with an opportunity for full-time transition.


Position Overview:

As the Executive Assistant to the Managing Partner, you will play a key role in streamlining operations, supporting the Managing Partner in administrative tasks, and ensuring smooth day-to-day business activities. Your duties will include managing communications, organizing website content, assisting with the introduction of new products, and handling various executive functions to contribute to the overall efficiency of the company.


Key Responsibilities:

  • Task Coordination: Assist with prioritizing and following up on projects and deadlines, ensuring tasks are completed in a timely manner.
  • Calendar Management: Coordinate and schedule meetings, appointments, and travel arrangements for the Managing Partner.
  • Document Management: Prepare, review, and organize documents, presentations, and reports as needed for the Managing Partner.
  • Email Management: Monitor and respond to incoming email inquiries, filtering and prioritizing messages for the Managing Partner's attention.
  • Correspondence: Draft and proofread internal and external communication, including emails, memos, and reports.
  • Website Management & Content Updates: Organize and maintain website pages, ensuring product information, company updates, and content are accurate and up to date.
  • Product Launch Support: Assist in planning, coordinating, and executing the introduction of new aviation cabin softgoods products to market. This includes communicating with vendors, marketing teams, and logistics to ensure seamless product releases.
  • Client & Vendor Relations: Liaise with clients, suppliers, and partners on behalf of the Managing Partner to maintain strong working relationships.
  • Event Planning: Assist in organizing company events, conferences, and meetings, both virtual and in-person.
  • General Administrative Support: Provide administrative support as needed, including office management, data entry, filing, and other ad hoc tasks.

Qualifications:

  • Education: Bachelor's or Associate's degree in Business Administration, Communications, or a related field preferred. Equivalent work experience may be considered.
  • Experience: At least 3 years of experience in an executive assistant role, preferably in a distributorship, aviation, textiles or a related industry.
  • Skills:
  • Exceptional organizational and time management skills.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with WordPress website content management systems (CMS).
  • Ability to handle multiple priorities with a proactive approach and attention to detail.
  • Strong interpersonal skills and the ability to maintain professionalism in all communications.
  • Discretion in handling confidential and sensitive information.
  • Strong problem-solving skills and the ability to work independently and as part of a team.
