The Role:

We are seeking an Executive Assistant to the CEO with HR and some Administrative experience and Project Management skills to join our team. Reporting directly to our CEO, you will provide outstanding daily operational support and thrive in a fast-paced environment. This role requires someone who takes initiative, has great communication skills, is intuitive and resourceful, knows computers, gadgets, and AI very well, and can multitask while maintaining complex schedules. The ability to make some decisions and manage a team is essential. The ideal candidate is highly organized, solves problems efficiently, manages a team, thinks on their feet, and thrives in a constantly changing environment. Your attention to detail and exceptional approach to follow-through will be critical in supporting the CEO. The main goal is to be a right hand and occasionally substitute for the CEO. This is a New York-based in-office position.


Responsibilities:

  • Be the right hand of the CEO and another executive, if necessary
  • Be highly organized and know related programs and apps.
  • Oversee specific tasks and projects at the CEO's direction
  • Maintain accurate records for all CEO projects and initiatives
  • Support corporate spirit and strong internal team communication
  • Anticipate the CEO's needs and proactively address issues
  • Assist and manage tasks for the CEO in a timely manner
  • Keep a clean record of CEO requests and tasks for team members and follow up on status
  • Do multiple research in various areas of business and service
  • Be able to work highly productively without constant control or supervision.
  • Coordinate logistics for meetings (scheduling, reminders, venues, catering/AV)
  • Maintain confidential company records and documents
  • Exercise discretion when handling highly sensitive information
  • Build relationships and liaise with key executives, employees, and external parties
  • Demonstrate flexibility in a fast-paced environment with changing priorities.
  • Manage the CEO's calendar (appointments, priorities, balancing)
  • Compile data and format information for internal and external communication -memos, emails, presentations, and reports.
  • Manage all HR documentation and employee records.
  • Coordinate the recruitment process, including reviewing job posts, screening resumes, extending offers, and conducting interviews.
  • Manage employee workflow, productivity, and performance evaluations
  • Address workplace complaints and problems, if any
  • Provide administrative support by drafting, editing, and preparing communications.
  • Fluency in English is required. Knowledge of Russian is a plus.

Requirements:

  • 3+ years of executive assistant experience supporting high-level executives
  • 3+ years HR experience
  • Experience with Google Suite
  • Ability to be highly productive without supervision.
  • Thrive in a fast-paced environment
  • Provide support outside traditional business hours if needed
  • Strong attention to detail
  • Excellent knowledge of computers, gadgets, and major AI
  • Ability to handle highly confidential information
  • Ability to work independently and with ambiguity
  • Excellent communication and time management skills
  • Ability to complete complex tasks quickly with little guidance
  • Ability to prioritize and multi-task
