Position: Executive Assistant to Founder/CEO

Location: NY Metro

Salary: $75,000 - $85,000 per year

Type: Full-time

Responsibilities:

  • Administrative Support:
  • Manage and prioritize the Founder/CEO's professional and personal calendars, scheduling meetings, appointments, and calls with attention to detail.
  • Draft, review, and send correspondence on behalf of the Founder/CEO, maintaining professional communication at all times.
  • Organize and coordinate daily tasks to ensure efficient time management and smooth operation of the Founder's day.
  • Travel Coordination:
  • Arrange comprehensive travel logistics for the Founder/CEO and accompanying team, including booking flights, hotel accommodations, transportation, and itineraries.
  • Prepare travel documents, itineraries, and other necessary materials in advance of each trip.
  • Event Planning & Coordination:
  • Assist in planning and executing company events, including product launches, press events, and executive meetings.
  • Manage guest lists and handle event logistics, including catering, guest invitations, and media coordination.
  • Handle event-related gifting, ensuring timely shipments and personalized selections.
  • Vendor & Sample Management:
  • Coordinate with vendors, including managing sample preparation, packaging, and shipments to and from FH HQ to vendors.
  • Ensure samples and other product-related materials are prepared and shipped according to deadlines.
  • Track inventory of all Fara Homidi samples, products, and product components stored in the office.
  • Record Keeping & Office Management:
  • Maintain an organized filing system for both physical and digital files, ensuring easy access to important documents.
  • Track inventory and manage supply levels to ensure the office has necessary materials at all times.
  • Assist with various office management tasks, ensuring the smooth functioning of daily operations.
  • Liaison Role:
  • Serve as the primary point of contact between the Founder/CEO and the executive team, including the President, COO, and Global PR and Marketing teams.
  • Facilitate internal communication to ensure key messages are conveyed effectively across departments.
  • Assist in executing day to day operations, offering administrative support to other departments as needed.
  • Attend meetings, virtual and in person, on behalf of Founder/CEO when necessary, reporting back in detail

Requirements:

  • 3-5 years of experience as an executive assistant or in a similar role, preferably in the beauty, fashion, or luxury industry.
  • Exceptional organizational and time-management skills with a proven ability to multitask and prioritize with attention to detail.
  • Strong communication skills (written and verbal), with the ability to maintain professionalism in all forms of correspondence.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and iWork (Pages, Numbers, Keynote).
  • Familiarity with management programs for project management and task tracking.
  • Ability to manage confidential and sensitive information with discretion and professionalism.
  • Prior event planning and vendor management experience preferred.
