About the Role
Our client is seeking a highly organized and proactive Personal / Executive Assistant to support their CEO. This role requires a self-starter with exceptional attention to detail, strong time management, and the ability to anticipate needs before they arise. The ideal candidate is experienced in supporting C-level executives, excels under pressure, and is comfortable working beyond standard business hours to ensure seamless support.
Key Responsibilities
- Provide high-level executive and personal support to the CEO
- Manage a dynamic and ever-changing calendar, including meetings, appointments, and travel
- Oversee email correspondence, prioritize messages, and track follow-ups
- Serve as a trusted gatekeeper, resolving scheduling conflicts and streamlining communication
- Plan and manage complex domestic and international travel itineraries
- Monitor travel and adjust plans in real time based on changes or disruptions
- Organize, coordinate, and execute high-touch events and engagements
- Reconcile and track expenses with accuracy and timeliness
- Conduct research, prepare reports, and gather information to support executive decision-making
- Support personal errands and appointments, manage personal tech, and coordinate special requests
- Provide real-time updates and be responsive to urgent needs outside of traditional working hours
- Handle confidential information with the highest degree of professionalism and discretion
- Adapt to evolving priorities and support other tasks as assigned
Qualifications
- Prior experience supporting a C-suite executive
- Exceptional organizational and multitasking abilities
- Excellent communication skills, both written and verbal
- Strong skills in calendar management and travel coordination
- Technologically savvy with proficiency in Microsoft Excel and other tools
- Proactive problem-solver with a resourceful, can-do attitude
- Highly adaptable, calm under pressure, and able to pivot quickly
