Executive Assistant to the CEO (Contract - Potential to Convert)

Executive Assistant - Greater Philadelphia Area - $38-$55/hr

A fast-growing, private equity-backed company in the financial services industry is seeking an experienced Executive Assistant to support its CEO during a period of organizational transition and rapid growth. This contract position is open due to two overlapping leaves of absence and may convert to a permanent role depending on internal staffing decisions.

This is a high-exposure opportunity to support a dynamic CEO at a PE portfolio company, offering a mix of professional and personal support responsibilities.


Executive Assistant - Responsibilities

  • Manage the CEO's complex calendar, meetings, and domestic/international travel
  • Provide personal assistant support, including scheduling family travel, coordinating events, and handling philanthropic commitments
  • Serve as the CEO's primary point of contact for internal and external communications, including calls, emails, and texts
  • Prioritize and respond to emails on behalf of the CEO, particularly during periods of travel
  • Prepare meeting materials, take notes, assign follow-ups, and manage executive to-do lists
  • Complete administrative tasks including expense reports, invoice approvals, and vendor management
  • Coordinate closely with other executive assistants and internal stakeholders across HR, finance, and operations
  • Be available for occasional evening or weekend needs; company phone provided

Executive Assistant - Requirements

  • 3+ years of experience supporting a CEO or C-level executive in a private equity-backed or large corporate environment
  • Experience in financial services or professional services preferred (nonprofit, healthcare, and manufacturing will not be considered)
  • High level of polish, professionalism, and discretion
  • Strong experience in calendar management, scheduling, and communications via email, phone, and text
  • Proactive, highly organized, and able to anticipate executive needs
  • Bachelor's degree preferred

Schedule & Location

  • Hybrid: On-site Monday-Thursday (8:30 AM - 5:30 PM); remote Fridays unless needed in-office
  • Flexibility required for occasional Friday or after-hours needs based on CEO travel or meetings
  • Additional work-from-home Mondays offered in the summer (Memorial Day to Labor Day)
