The Role
We are seeking an exceptional Executive Assistant to support our CEO - someone who thrives in a fast-paced environment, is unflappable under pressure, and is excited about the long game. The ideal candidate is more than just organized - they are a thoughtful partner who can anticipate needs, streamline operations, and keep the CEO focused on top priorities. They bring a sharp attention to detail, strong follow-up instincts, and excellent interpersonal skills to a business where relationships are everything.
This is a high-visibility position with significant growth potential. As the role evolves, there is opportunity to transition into a Chief of Staff capacity, supporting internal initiatives, cross-functional planning, and operational improvements across departments.
We are especially interested in candidates who have grown through production roles (such as coordinating or managing logistics on set) and now operate confidently in corporate, agency, or executive-level environments.
Core Responsibilities
- Manage an intensive and ever-shifting calendar with precision and foresight
- Coordinate all executive travel, meeting logistics, and confirmations
- Provide timely reminders and manage meeting transitions
- Prepare presentations, decks, agendas, and follow-ups for internal and external meetings
- Liaise across departments and with key partners, acting as an extension of the CEO
- Stay on top of industry trends and maintain relationships with high-level contacts
- Prepare expense reports and manage task lists proactively
- Offer input on creative projects, talent suggestions, and production needs as appropriate
- Ensure VIP experiences and ticketing during live productions
- Handle sensitive information with discretion and integrity
Qualifications
- Minimum 5 years supporting C-suite or senior-level executives
- Hands-on production experience is required - all genres welcome (scripted, unscripted, live, music, or commercial)
- Agency experience is a strong plus, especially in a fast-paced or high-profile environment
- Highly organized, calm under pressure, and emotionally intelligent
- Exceptional written and verbal communication skills
- College degree or equivalent professional experience
- Deep familiarity with the entertainment landscape - scripted, unscripted, and live production
