DESCRIPTION
The Executive Assistant supports and performs administrative tasks for the In-House Counsel and CFO. The ideal candidate is a highly organized professional with superb attention to detail and problem-solving abilities. This individual possesses a positive attitude and is dedicated to producing quality results. Strong verbal and written communication skills are essential, as well as a polished presentation, professional demeanor and great interpersonal skills. The candidate understands that no task is too small and tackles each request as such.
A combination of some experience and/or interest in real estate is highly desired, experience supporting executive-level staff is highly preferred.
JOB RESPONSIBILITIES
- Perform routine to advanced confidential administrative duties. This includes support primarily to the In-House Counsel, CFO, and President of Property Management, and includes support to other individuals in the company as needed.
- Manage Commercial Asset alongside the President of Property Management
Main point of contact for all tenants and broker
Keep track of tenant issues, needs, and billing
Coordinate as needed/monthly/quarterly/annual maintenance
Schedule and communicate with Vendors
Other duties as needed.
- Schedule, organize and manage the executive's calendar and/or e-mail.
- Maintain filing system for the department; readily accesses and retrieves information from files as requested.
- Communicate verbally and in writing with a variety of business associates, organizations and other professionals who interface with the company.
- Act as a liaison with other departments and outside business contacts: respond to requests for information, draft e-mails and other communication on behalf of In-House Counsel. The candidate will be expected to intercept tasks addressed to the In-House Counsel complete independently or provide input enabling In-House Counsel to make quick and effective decisions/replies.
- Contribute to document review and production, including lease agreements, amendments, service contracts and other legal documents.
- Manage property and liability insurance policies for all locations as well as the corporate entity.
- Manage the Workers' Compensation insurance policy for the corporation. In addition, complete the annual OSHA required reporting.
- Review invoices/bills for accuracy and prepare for approval and processing.
- Occasionally, act as a personal assistant including booking travel, purchasing personal items, and running personal errands.
- Order office supplies and snacks for the office
- Additional duties as required.
REQUIREMENTS
- Bachelor's degree is required.
- 2-3 years of related administrative/secretarial experience and/or experience in the real estate/property management industry is preferred but not required.
- Advanced proficiency with MS Word, Excel, Outlook, Adobe Acrobat.
- Excellent oral and written communication skills, including grammatical competency to be able to independently draft and edit correspondence and memos.
- Superior organizational skills, proactive follow up and independent time management.
- Proven ability to maintain highly confidential information.
- Strong attention to detail and ability to learn quickly and follow directions.
- Flexibility and adaptability in a changing and fast paced entrepreneurial environment.
- The ability to pass a criminal background check, drug screen, and provide proof of authorization to work in the United States.
