Responsibilities Include (but are not limited to): - Support company executives with calendar management, proposal preparation, and correspondence
- Manage accounts payable and receivable; review and reconcile vendor statements
- Use QuickBooks for financial tracking and reporting
- Prepare and submit AIA requisitions and documentation
- Maintain records of communications, project files, and vendor information
- Coordinate office operations to ensure efficient workflow
- Liaise with clients, vendors, and city officials as needed
- Follow up on outstanding tasks, requests, or documents without prompting
- Support HR and onboarding activities as needed
- Assist with plumbing plans and DOB procedures (training available)
Qualifications: - Minimum 3+ years of success as an Executive Assistant and Office Manager
- Strong organizational skills with exceptional attention to detail
- High proficiency in Microsoft Excel and Word (PowerPoint preferred)
- Experienced in QuickBooks and financial recordkeeping
- Excellent written and verbal communication skills
- Strong multitasking ability with a proactive, self-starting approach
- Knowledge of AIA requisitions and NYC DOB procedures preferred (training available)
- NYS or Commissioner of Deeds notary recommended
- Relocation to Brooklyn, NY 11230 required before start (if applicable)
