Responsibilities

  • Manage day-to-day office operations, including supply procurement, building management coordination, visitor reception, technology support, and mail distribution.
  • Provide executive support to Executive Leaders through calendar management, travel arrangements, event planning, CRM data entry, invoicing, and expense reporting.
  • Facilitate new hire pre-boarding and onboarding processes to ensure a smooth transition.
  • Coordinate employee offboarding, ensuring compliance and proper documentation.
  • Act as a culture ambassador by fostering a positive, engaging, and inclusive office environment.
  • Identify, implement, and maintain operational best practices across teams.
  • Assist with business development, recruitment, and firm-wide strategic initiatives as needed.
  • Promote and contribute to a high-performing, collaborative, and inclusive workplace culture.
  • Perform additional administrative and operational tasks as assigned.

Ideal Experience

  • A bachelor's degree from a top academic institution is required.
  • 3 plus years of experience as an Executive Assistant or Office Coordinator at an investment bank, private equity/venture capital, law firm, or management consulting firm.
  • Experience with travel and financial CRM tools.
  • High degree of maturity with the ability to interact with management, team members, and external partners.
  • Ability to successfully work in a collaborative team environment.
  • High degree of maturity with a proven ability to interact with senior executives.
  • Strong Microsoft Word, Excel, Outlook, and PowerPoint with high-quality messaging, structure, and formatting.
  • Responsive to immediate requests and a willingness to jump in when needed.
  • Proven track record of success in high-pressure, time-constrained environments.
  • Excellent written and verbal communication skills, including strong e-mail etiquette.
  • Top-tier organizational skills and attention to detail.
  • Self-starter and entrepreneurial spirit.
