Marketing and Sales/Executive Assistant to Vice President
We are seeking a detail-oriented and proactive Marketing and Sales Assistant to support a Commercial Real Estate Broker specializing in retail real estate. This role is essential to maintaining the efficiency and organization of daily operations, with a strong focus on database management, marketing collateral development, and sales support.
Key Responsibilities
Marketing:
- Collaborate with the Marketing Department to provide accurate property information and assist in the development of compelling marketing brochures.
- Coordinate the distribution of marketing content across multiple channels, including email campaigns and commercial real estate platforms such as LoopNet, CoStar, and Crexi.
Database Management & Research:
- Maintain and routinely update CRM systems and internal property databases with current listings, client contacts, and deal activity.
- Conduct research to identify potential tenants, properties, and market trends relevant to the retail real estate sector.
- Generate contact lists and status reports to support business development efforts.
Sales
- Provide day-to-day administrative assistance, including scheduling meetings and organizing property tours.
- Assist in the preparation and editing of Letters of Intent (LOIs) and other deal-related materials.
- Track client follow-ups and communications to ensure smooth deal progression and pipeline accuracy.
Qualifications:
- 1-3 years of experience in a marketing, administrative, or sales support role (commercial real estate experience is a plus).
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook); experience with CRM software is a plus.
- Excellent organizational skills and ability to manage multiple projects and deadlines simultaneously.
- Effective written and verbal communication skills.
- Self-starter with a professional demeanor, capable of working independently and collaboratively.
