ANTICIPATED VACANCY

Position is eligible for a hybrid-teleworking schedule to include weekly onsite work hours.

The Executive Assistant provides high-level administrative support to the Division Director and Assistant Division Director, who oversee all operations across the Division, including seven regional centers serving all 100 counties in North Carolina. This position is based at the Division's state office on the Dorothea Dix Campus (820 S. Boylan Ave., McBryde Building, Raleigh, NC 27699) and requires regular handling of sensitive or confidential information with discretion and professionalism.

This role demands adaptability and sound judgment in a dynamic, non-routine environment. The ideal candidate demonstrates independence in decision-making, problem-solving skills, and the ability to prioritize effectively. Familiarity with or prior experience in North Carolina Family Services (NCFS) is preferred.

Key responsibilities include serving as office manager for Division leadership, acting as a liaison with the public and various stakeholders (including consumers, legislators, government agencies, and media), and coordinating logistics for major meetings such as the quarterly NC Council for the Deaf and Hard of Hearing. Additional tasks range from budget tracking, document preparation, and event planning to calendar and meeting management. The Executive Assistant must effectively manage competing priorities and deadlines while maintaining a high level of organization, professionalism, and communication.

Qualified applicants must possess, and application must clearly reflect work experience that demonstrates the following:
  • Skilled in drafting and editing executive-level correspondence, reports, meeting minutes, and other formal documents with precision, ensuring consistency with grammar, punctuation, formatting, and organizational standards.
  • Experienced in managing day-to-day office operations, demonstrating initiative in coordinating workflows, streamlining administrative processes, and supporting senior leadership in a dynamic environment.
  • Proficient in organizing and coordinating meetings and schedules for multiple team members, with a strong commitment to providing responsive and high-quality service to diverse internal and external stakeholders.
  • Adept at multitasking in a high-demand setting-balancing phone coverage, written communications, guest reception, and meeting support with professionalism and poise.
  • Highly proficient in Microsoft Office Suite, with advanced use of Outlook, Word, Excel, and PowerPoint to develop polished documents, presentations, and manage calendars and communications.
Management preferences will be given to candidates with:
  • Experience coordinating complex travel arrangements for staff, including transportation, lodging, and reimbursements in compliance with organizational policies.
  • Strong organizational skills with a demonstrated track record of maintaining well-structured digital filing systems and managing electronic records efficiently and securely.

Bachelor's degree, preferably in business administration or a related discipline from an appropriately accredited institution;
OR
Associate s degree in secretarial science, business administration, or a related discipline from an appropriately accredited institution and two years of progressively responsible administrative/office management experience;
OR
High school or General Educational Development (GED) diploma and four years of progressively responsible administrative/office management experience;
OR
an equivalent combination of education and experience.
