Pillar Home Buyers is a growing real estate investment company dedicated to providing excellent service in property acquisitions and dispositions. We are looking for an organized, tech-savvy, and operations-focused Executive Assistant to support our CEO, Jacob Matlock, in managing administrative tasks, operations, and process improvements. This role is ideal for someone who thrives in a fast-paced, growing environment, is an excellent problem solver, and has a structured and process-oriented mindset. Responsibilities: What You'll Be Doing Executive Support & Operations Management
• Keep the CEO organized, accountable, and on track with daily priorities.
• Create, maintain, and improve processes and workflows to enhance efficiency.
• Develop Kanban boards, task management systems, and project tracking tools using platforms like TeamWork or Asana.
• Assist with CRM management (Resimply or similar), including updating leads, KPI tracking, and ensuring accurate data entry.
• Support credit card management and expense tracking , potentially building out improved financial tracking processes.
• Assist with disposition tasks, supporting the sales process as needed. Email, Calendar & Communication Management
• Manage and organize the executive's email inbox to ensure important messages are addressed.
• Handle scheduling, calendar management , and optimizing time blocks for the CEO.
• Serve as the first point of contact for internal and external communications as needed.
• Filter and prioritize messages, turning off unnecessary email notifications (e.g., Wizehire). Technology & Process Improvement
• Use Microsoft Excel, Microsoft 365, Asana, and CRM software for reporting and task tracking.
• Learn and adapt quickly to new technology tools and automation systems to improve workflow.
• Implement AI-driven tools or automation where possible to streamline operations. Qualifications: What We're Looking For
• Highly organized and structured , with the ability to create efficient systems.
• A problem solver who takes initiative and anticipates needs before they arise.
• Someone who learns quickly and is eager to optimize processes.
Trustworthy and able to handle sensitive financial and operational information with discretion.
• Experience with Microsoft Excel, CRM systems (Resimply or similar), and task management tools (Asana, TeamWork, etc).
Tech-savvy and comfortable navigating new systems and software.
• A patient and adaptable team player who can work well with a growing business. Compensation: $22 - $25 hourly
