Job Summary
With a patient centered culture, the Executive Assistant will provide confidential administrative support to the executive team displaying a high level of professionalism, organization, critical thinking and attention to detail.
Responsibilities
Communication
Communicate effectively and appropriately. Uses good judgement as to what to communicate to whom as well as the best way to get that accomplished. Speaks in a clear and credible manner, selecting the right tone for the situation and audience. Listens to others and follows direction.
Managing Multiple Priorities
Handles multiple assignments and priorities and fulfills all commitments. Readily accepts new responsibilities and adapts well to changes in procedures. Gives appropriate priority to various work demands. Prioritizes tasks and manages time to ensure that deadlines are met. Plans time and manages interruptions until the highest priority tasks are accomplished.
Quality of Work
Produce quality work such as policy and calendar management, report analysis, creation of agendas, writing letters, arranging travel, creating purchase orders, etc. that is highly accurate. Demonstrates attention to detail and reflects well on the organization. Is personally committed to high quality work and encourages others to have similar standards. Makes quality independent decisions.
Customer Focus
Demonstrates that internal and external customers are a high priority. Identifies needs and expectations through phone calls and/or emails and responds to them in a timely and effective manner. Anticipates and prevents delays or other things that can adversely affect the customer experience. Receives patient complaint calls and keeps customers informed about the status of pending actions.
Dependability
Makes and fulfills commitments and has an established pattern of working independently, meeting reasonable deadlines, and accepting responsibility for actions. Arrives to work on time and ready to contribute. Shows up for meetings well-prepared.
Knowledge, Skills & Abilities
Light work. Frequent lifting and/or carrying objects weighing up to 10 pounds with a maximum lifting of 25 pounds. Willingness to work flexible shifts; minimal travel may be required.
3-5 years in secretarial experience required. 3-5 years in healthcare administration or similar executive level office environment in a role supporting multiple business units preferred. Proficiency of Microsoft Office with the ability to learn new software applications.
