About Our Client:

Addison Group is working with our client, a respected and growing organization in the professional services space, to find a high-level Executive Assistant for their Washington, DC office. The client recently moved into a beautiful new office in a prime location and is seeking a reliable and proactive professional to join their dynamic Finance team.


Job Description:

This Executive Assistant will support 5-6 senior leaders within the Finance department. The role is suited for someone who is confident, resourceful, and able to operate with minimal guidance. The right person will be comfortable managing a wide range of administrative duties, coordinating busy calendars, handling intern tracking, and ensuring executives are prepped and ready for meetings and travel.


Key Responsibilities:

  • Manage complex calendars and schedule meetings for multiple senior executives
  • Coordinate internal meetings, external engagements, and seasonal intern interview logistics
  • Maintain applicant tracking system records related to intern hiring
  • Arrange domestic and international travel and create detailed itineraries
  • Prepare executives for meetings by gathering background info and materials
  • Serve as point of contact during on-site meetings and visits from clients or internal stakeholders
  • Submit expense reports and assist with invoice tracking and billing support
  • Organize and manage confidential contact lists and documentation
  • Provide general office and guest support as needed
  • Help with special projects, event coordination, and day-to-day administrative tasks

Qualifications:

  • Minimum of 3 years' experience as an Executive Assistant or in a similar administrative support role
  • Professional services, legal, or Capitol Hill experience strongly preferred
  • Proficient in Microsoft Office Suite (Outlook, Word, Excel) and video conferencing tools (Zoom, Teams)
  • Exceptional time management, multitasking, and organizational skills
  • Excellent verbal and written communication abilities
  • Able to work independently with minimal direction
  • Willingness to work paid overtime as needed
