Position Summary

The position is responsible for providing high-level administrative support to the Human Resources, Information Technology and Business Services' departments, including updating databases, preparing correspondence, scheduling appointments, answering telephones, and handling meeting logistics. The position reports directly to the Vice President, Human Resources and Administration.

Major Duties and Responsibilities
  • Provides high-level administrative support to the Vice President, Human Resources and Administration, including managing calendar, scheduling appointments, coordinates travel, maintaining confidential documents, completing expense reports, handling meeting logistics, etc.
  • Processes human resource transactions for 200 plus employees, including new hire paperwork, salary increases, status changes and terminations.
  • Organizes files (hard copy and electronic) as well as standardizes office filling system.
  • Responds to basic employee inquiries regarding human resource programs, policies and processes.
  • Assists in coordination of annual open enrollment.
  • Coordinates quarterly new hire breakfast.
  • Maintains all pertinent applicant and interview data.
  • Assists in initiating and reviewing reference and background checks for potential employees, including preparing and sending offer packets and new employee orientation.
  • Conducts select components of new hire orientation program.
  • Prepares and monitors invoices for payment, tracks budget items, and interfaces with Finance and Accounting.
  • Prepares presentations, reports, spreadsheets and documents using a variety of computer applications.
  • Manages human resource documents on ACC intranet sites.
  • Maintains vendor and other contact lists.
  • Performs other duties as assigned
Qualifications/Requirements

Required
  • Associates degree or equivalent years of experience.
  • Two years general office or related experience.
  • Strong written and oral communication skills, including grammar, spelling and punctuation.
  • Ability to manage and prioritize multiple projects and tasks, work independently and exercise sound judgment in evaluating such situations and issues.
  • Ability to handle sensitive and confidential information.
  • Working knowledge of Microsoft Office including Word, Excel and PowerPoint.
  • Experience with document tracking, filing and record keeping.
  • Proficient in Internet research
Preferred
  • College degree or equivalent experience.
  • Experience in a human resource setting.
  • Familiarity with human resource information systems (HRIS) and payroll database.
