Job Description From our home office in Northlake, the
Executive Assistant provides operational and administrative support to Senior Leadership. This role oversees calendar management, communication, gatekeeping, meeting notes, and general organizational tasks. This role is a key member of our leadership team with strategic support in the administration of travel, initiatives, and related projects including the following responsibilities.
- Provides high-level administrative support and assistance to executive leadership and/or other assigned leadership staff.
- Performs clerical and administrative tasks including drafting letters, memos, invoices, reports, and other documents.
- Arranges travel and accommodations for executives.
- Schedules and attends meetings on behalf of executives, taking notes and recording minutes.
- Receives incoming communication or memos on behalf of senior staff, reviews contents, determines importance, and summarizes and/or distributes contents to appropriate staff.
- Performs office tasks including maintaining records, ordering supplies, and performing basic invoicing.
- Provide support to office facilities, such as maintenance and stocking of break room and supply areas.
- Performs additional duties as assigned by executives.
Qualifications - A minimum of three years performing administrative and operational support for executive leadership.
- Prior experience arranging and maintaining travel plans for multiple employees.
- Prior experience representing Leadership in written and verbal communication.
- Demonstrated success with the following skillset:
- Excellent verbal and written communication skills.
- Excellent organizational skills and attention to detail.
- Excellent time management skills with a proven ability to meet deadlines.
- Ability to function well in a high-paced and at times stressful environment.
- Extensive knowledge of office administration, clerical procedures, and recordkeeping systems.
- Extremely proficient with Microsoft Office Suite or similar software with the ability to learn new or updated software.
