We are seeking an Executive Assistant who is driven, organized, resourceful, proactive, and customer-obsessed to support 2-3 Directors in Global Accounts Receivable (GAR). GAR is primarily supported from Seattle and Arlington (HQ2) and operationally executed from Support Center locations globally.

Key job responsibilities

• The support and planning of several key finance deliverables

• Develop and maintain a one stop shop system and process for all documentation both electronically and manually

• Complete a high volume of tasks and projects quickly with little guidance

• React with appropriate urgency to situations and events that require a quick response or turnaround

• Manage complex calendars and scheduling to support teams in multiple locations

• Track and help drive completion of key deliverables and follow up on outstanding items (including meeting notes and action items)

• Organize, prioritize and appropriately handle time-sensitive, confidential information and ensure action required is addressed in a timely manner

• Coordinate global schedules and seamless meeting logistics, such as video conference and conference calls for internal and external meetings, staff meeting agendas, all-hands meetings, off-sites, etc

• Work closely with the leadership team, recruiting and other Executive Assistants to provide support to the organization

• Document writing, editing, and readiness

• Ensure accurate archiving of departmental data on appropriate sites

• Management of team space, including moves and reconfiguration

• Expense reimbursement including report coordination, submission and issue tracking

• Have fun at work and help others do the same

Qualifications:

• Former exp with client preferred.

• Experienced executive assistants or administrative assistants (not looking for anyone who does not have extensive executive or admin experience)

• Extensive Experience supporting directors preferred with large teams.

• Education: Bachelors degree would be a nice to have. HSD/GED minimum requirement.

• Minimum of Five+ years of executive assistant experience supporting high level executives/directors.

• Software: Concur, MS 365 products, Slack, SharePoint, travel software.

• Experience with calendar scheduling/management, taking meeting notes, and other related job duties mentioned in JD above.

About the team
Global Accounts Receivable is the operational finance department who manages the order to cash process.
The Global Accounts Receivables (GAR) mission is to contribute to funding the flywheel of Client's virtuous cycle and future business expansion by optimizing the scale, speed, accuracy and productivity of Client's Order-to-cash (O2C) value stream, while ensuring a positive interaction with our external customers (customers, vendors and resellers) and internal channel partners.
