Job Title: Executive Assistant

Overview: We are seeking a highly skilled and organized Executive Assistant to support one or two high-level partners at a prestigious law firm in San Francisco. The ideal candidate will have experience supporting senior executives or partners in a law firm environment, preferably in a (Big Law) setting. This is an excellent opportunity for a detail-oriented and proactive individual who excels in managing complex schedules, handling billing tasks, and maintaining efficient operations in a fast-paced legal environment.
Key Responsibilities:
- Heavy Calendaring: Manage and prioritize the partner's calendar, scheduling appointments, meetings, and travel arrangements, ensuring smooth coordination and minimal conflicts.
- Billing & Invoicing: Assist with billing processes, including tracking billable hours, preparing invoices, and working closely with accounting departments to ensure accuracy.
- Correspondence & Communication: Handle phone calls, emails, and other correspondence, ensuring timely responses and professional communication on behalf of the partner.
- Document Management: Draft and proofread documents, correspondence, and presentations; maintain filing systems for important legal documents.
- Administrative Support: Provide general administrative support such as office management, arranging meetings, ordering supplies, and processing expense reports.
- Client Interaction: Interact with clients and external contacts, acting as a liaison for the partner and representing the firm with professionalism.
- Special Projects: Manage or assist with special projects, ensuring deadlines are met and tasks are completed effectively.
Qualifications:
Experience: Minimum of 3-5 years of experience as an executive assistant, preferably in a Big Law or legal services environment supporting high-level executives or partners.
Skills:
- Strong proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent written and verbal communication skills.
- Exceptional organizational and time management abilities.
- Ability to work under pressure, prioritize tasks, and handle confidential information with discretion.
Education: Bachelor's degree required.
