The ideal candidate will provide top-level assistance for high level executives. They should be well-organized and be comfortable scheduling meetings and responding to emails on the executive's behalf. Lastly, this individual should be able to draft documents and help the executive with any necessary meeting preparations.
Responsibilities
- Act as the primary point of contact between the executive team and internal/external stakeholders.
- Manage the Executive's calendar, schedule meetings, and coordinate travel arrangements.
- Completing and submitting expense reports for processing.
- Organize and maintain files and records.
- Prepare and edit correspondence, reports and presentations.
- Screens incoming calls to the president, determining the nature of the call, takes messages and maintains contact lists, and, whenever possible, responds to the caller directly based on knowledge of the president's preferences or instructions.
- Manages all visiting members and guests and handles all of their needs for their stay as requested.
- Assist with event planning and implementation.
- Conduct research and compile data for reports.
- Organize travel arrangements for executives for business-related travel when requested.
- Monitor and maintain office supplies, track status, orders, and purchases, and distribute as needed.
- Perform work-related errands as requested, such as going to the post office and bank.
- Coordinates and organizes meetings, as well as other activities and functions.
- May schedule or obtain use of rooms and may set up rooms and equipment for use.
- Performs other duties as assigned.
Qualifications
- Bachelor's degree or equivalent experience
- Proven experience as an Executive Assistant or similar role.
- Proficient in Microsoft Office suite
- Experience in managing multiple priorities, administrative coordination, and office logistics
- Well-organized, detail-oriented, ability to multi-task with great follow-up skills
- Strong written and verbal communication skills
- Assure discreet handling of all business communications
- Solar industry experience preferred
- Chinese and/or Korean language skills are a plus
