Executive Assistant based in
Salt Lake City, Utah. This is an exciting opportunity to join a dynamic team, supporting executive leadership in a fast-paced, relationship-driven environment.
The Executive Assistant will play a key role in managing calendars, coordinating meetings, maintaining CRM systems, supporting office operations, and facilitating internal and external communications. This role requires discretion, initiative, and exceptional organizational skills.
Key Responsibilities: - Calendar & Meeting Coordination: Manage schedules for executive leadership and internal teams; prepare meeting materials and track action items.
- CRM & Pipeline Support: Maintain CRM data (currently PipeDrive) and prepare weekly pipeline reports for team visibility and executive review.
- Office Operations: Oversee administrative supplies and office needs; act as liaison with facilities for maintenance coordination (including remote support for UT).
- Expense & Budget Tracking: Prepare and manage expense reports; assist with budgeting for conferences and client visits.
- Deal Flow Management: Collaborate with Credit Analysts and Sales teams to ensure timely and complete credit review submissions.
- Event Planning: Partner with marketing to coordinate logistics for trade shows, conferences, and client-facing events.
- Onboarding Support: Assist with onboarding processes for new hires in coordination with HR.
- File Management: Maintain well-organized digital filing systems for all departmental documents.
- Cross-functional Support: Engage with various internal departments and external partners to address operational and administrative needs.
Bonus Skills: - Notary Public and/or Signature Guarantee Certification.
- Experience in the finance or leasing industry is a plus.

What We're Looking For: - Bachelor's degree preferred; 2-5 years of administrative experience supporting senior leadership.
- Excellent communication and interpersonal skills.
- Strong technical proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace, and other business software tools.
- Fast and accurate keyboarding (minimum 65 WPM).
- High attention to detail and ability to manage multiple priorities.
- Ability to handle confidential information with discretion and professionalism.
