SBM Management is searching for a Executive Assistant, Business Analyst to join our team. The Executive Assistant & Business Analyst will provide high-level executive support while also contributing to business analytics and reporting initiatives. This role requires a proactive, detail-oriented individual capable of managing executive schedules, travel logistics, and administrative functions while also analyzing data, generating reports, and delivering actionable insights. Responsibilities: Executive Support Manage executive calendars, appointments, and schedules to optimize productivity. Coordinate domestic and international travel arrangements, including itineraries and accommodations. Prepare meeting agendas, take detailed notes, and ensure follow-up on action items. Handle confidential correspondence and manage sensitive information with discretion. Support event planning and logistics for meetings, conferences, and team activities. Manage expense reporting and ensure alignment with company policies. Business Analysis Collect, analyze, and interpret data to create comprehensive reports and dashboards. Provide actionable insights to support decision-making and operational improvements. Collaborate with cross-functional teams to identify and address business needs. Monitor KPIs and performance metrics, presenting findings to leadership. Assist in the preparation of presentations, proposals, and financial reports. Key Performance Indicators (KPIs): Executive Support Efficiency KPI: Maintain a 95% on-time rate for managing executive schedules, meetings, and follow-up actions. Measurement: Track missed or rescheduled appointments, completion of action items within designated timelines, and accuracy of travel arrangements. Data Reporting Accuracy and Timeliness KPI: Deliver 100% of business analysis reports and dashboards within agreed deadlines with less than 5% error rate. Measurement: Evaluate the number of reports submitted on time and check for discrepancies in data accuracy or actionable insights provided to leadership. Cross-Functional Collaboration and Insights Impact KPI: Provide actionable insights that result in at least 3 implemented process improvements or business decisions per quarter. Measurement: Track the number of recommendations adopted by leadership and their subsequent impact on operational or financial performance metrics. Qualifications: Bachelor's degree in Business Administration, or related field. 3+ years in a similar role, preferably at the C-Suite level. Calendar Management Tools: Experience with scheduling tools like Outlook Calendar, Google Calendar, or other specialized calendar software. CRM Systems: Familiarity with CRM software (Salesforce, HubSpot) for managing contacts, leads, and customer relationships. Document Management Systems: Experience with SharePoint, OneDrive, or other document management systems. Data Analysis Tools: Proficiency in Excel, Google Sheets, Tableau, Power BI. Data Visualization Tools: Experience with Tableau, Power BI, Matplotlib, Seaborn. Experience with programming languages (Python, R, SQL) or statistical software (SPSS, SAS) is a plus. Exceptional organizational and multitasking abilities. Strong analytical mindset with attention to detail. Excellent verbal and written communication skills. Ability to work independently and maintain composure under pressure.
