As the Executive Administrative Assistant, you will be instrumental in maintaining the efficiency and effectiveness of our CEO. This role demands outstanding organizational abilities, a high level of discretion, and the capacity to excel in a dynamic, fast-paced setting. Serving as a trusted resource to our CEO, you will manage schedules, communications, and administrative responsibilities with precision and professionalism.


Key Responsibilities


  • Executive Support:
  • Manage calendars, schedule appointments, and coordinate meetings, ensuring optimal time management.
  • Coordinate and execute details of onsite events, conference calls, and virtual meetings
  • Act as the primary point of contact for internal and external communications on behalf of CEO

  • Administrative Tasks:
  • Handle correspondence, including emails, letters, and phone calls, with discretion and professionalism.
  • Organize and maintain confidential files and records.
  • Book all executive travel, including flights, accommodations, and itineraries.

  • Office Management:
  • Assist with event planning and coordination for company meetings and team-building activities.
  • Maintain office supplies and oversee administrative procedures to support day-to-day operations.
  • Liaise with various departments to facilitate seamless communication and workflow.
  • Manage daily tactical aspects of corporate office location, including managing and redirecting staff requests as needed


Qualifications


  • Experience:
  • Minimum of 5 years of experience as a high-level executive assistant, preferably in the financial services sector.

  • Skills:
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Office 365).
  • Excellent written and verbal communication skills.
  • Command of virtual meetings platforms, Zoom and Microsoft Teams at a minimum
  • Strong organizational and multitasking abilities with acute attention to detail.
  • Discretion and ability to handle sensitive information.

  • Capable of working autonomously in a high-pressure environment, managing tight deadlines with minimal oversight
