Executive Assistant
Location: Hybrid in Richmond, VA
Pay Rate: $28-$33/hour

Our client in the insurance industry is seeking a professional and highly organized Executive Assistant to provide administrative support to 3-4 senior leaders. This hybrid role offers an excellent opportunity for a candidate with strong executive support experience to contribute in a dynamic and fast-paced environment. Insurance industry experience is highly preferred. The ideal candidate will bring professionalism, discretion, and a proactive mindset, with the potential to transition to a permanent position.
Key Responsibilities:
- Collaborate with fellow administrative professionals to efficiently manage multiple senior leaders' calendars
- Act as a point of contact for internal and external stakeholders, handling communications with discretion and professionalism
- Organize and prepare materials for meetings to enhance team productivity
- Coordinate logistics for meetings and offsite events, including scheduling, setup, and follow-up
- Manage travel arrangements including airfare, accommodations, and related reimbursements
- Prepare and submit expense reports in compliance with company policies
- Set up and maintain purchase requisitions, POs, and process memberships or subscriptions
- Develop PowerPoint presentations aligned with business standards
- Respond to emails and voicemails promptly with exceptional customer service
- Organize and maintain department records and documents
- Provide administrative support across departments as needed
- Assist with special projects and initiatives
- Support onboarding efforts for new associates and contractors
Qualifications:
- 3+ years of experience as an executive or senior administrative assistant
- 5+ years of customer service experience
- Insurance industry experience highly preferred
- Strong organizational skills and attention to detail
- Ability to prioritize and manage multiple tasks in a fast-paced setting
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams)
- Excellent written and verbal communication skills
- High degree of professionalism, confidentiality, and discretion
- Proven judgment and ability to identify and escalate urgent matters appropriately
- Self-motivated with a collaborative attitude and willingness to learn
