The Garay-Michaud Team at SERHANT. is seeking a full-time, in-person Executive Assistant to support Jake Garay - a top-producing real estate broker and the founding agent for SERHANT. in the Hudson Valley. This is not your average admin job. As our Executive Assistant, you'll be the backbone of our operations - managing calendars, communication, internal systems, and follow-through across the team. • Proactively structure and protect Jake's calendar week-to-week
• Block time for meetings, strategy, and priorities
• Serve as the point of contact for agents and vendors to schedule meetings Communication Management
• Monitor Jake's email and inboxes; prioritize follow-ups
• Keep communication flowing with agents, clients, attorneys, and partners
• Manage texts, DMs, voicemails, and ensure nothing falls through the cracks Meeting Support Follow-Up
• Attend all internal meetings to take notes and track next steps
• Share meeting summaries, recordings, and relevant docs
• Sit in on leadership calls to support accountability and action Project Task Management
• Assist with execution of systems, SOPs, and initiatives
• Maintain project lists, track priorities, and keep the team aligned
• Act as a bridge between Jake and leadership Marketing Content Execution
• Coordinate listing marketing, video shoots, and campaign rollouts
• Liaise with internal media teams
• Support events, brand activations, and new marketing ideas Operational Admin Support
• Collaborate with Transaction Coordinator and learn internal systems
• Assist with hiring, onboarding, and CRM management
• Organize documents, contacts, and backend operations Logistics Field Support
• Coordinate client gifting, event logistics, and listing materials
• Occasionally attend inspections, pick up signage or open properties
• Be available locally - this is a full-time, in-person role Growth Business Development
• Support recruiting and outreach as we expand the SERHANT brand
• Assist with appointment setting, prospecting, and talent acquisition Qualifications: Required:
• Minimum 2 years of full-time experience as an Executive Assistant, Operations Manager, or in a similar support role
• Must be available to work on-site, Monday-Friday, 9 AM-6 PM in Poughkeepsie, NY
• Demonstrated experience with calendar management, scheduling, and inbox oversight
• Strong proficiency with Google Workspace (Gmail, Google Calendar, Docs, Sheets, etc.)
• Highly organized, detail-oriented, and capable of managing multiple priorities
• Strong interpersonal and written communication skills
• Comfortable handling confidential information with discretion
• Legal authorization to work in the United States
• Reliable transportation and ability to attend meetings, run local errands, or open properties as needed Preferred:
• 3+ years supporting a high-performing executive, entrepreneur, or real estate professional
• Experience with CRM systems (Follow Up Boss preferred), SiSu, or other transaction/project management platforms
• Background in real estate, marketing, sales, or luxury client services
• Familiarity with the Hudson Valley and/or Westchester real estate markets

Compensation:
$50,000-$70,000 per year
