Adecco Creative and Marketing has partnered with a premium firearms manufacturer in the US to hire a temp to perm Executive Assistant to the CMO.


This is a temp-to-perm, onsite position. The pay is $30-$36/hr. You will be onsite 5 days/week. The salary range is the $60K-$70K.


Position Summary:

The Senior Administrative Assistant will provide high-level administrative and coordination support to senior management, ensuring smooth and efficient business operations. The ideal candidate is highly organized, adaptable, and able to handle confidential tasks with professionalism. This role requires exceptional multitasking skills and a proactive approach to problem-solving in a fast-paced environment. Primary responsibilities include supporting the CMO or executive team, with occasional assistance provided to other senior staff as needed.


Responsibilities:

  • Provide executive-level administrative support, including managing complex calendars, prioritizing tasks strategically, arranging travel, and processing expenses to maximize efficiency.
  • Prepare reports, presentations, and correspondence for senior management.
  • Plan, coordinate, and execute meetings, events, and hosted gatherings for both internal and external groups across various platforms and locations, including on-site, off-site, and virtual settings.
  • Support strategic projects and cross-functional teams, ensuring smooth execution and alignment with company objectives.
  • Assist in setting up new vendors and processing payments and purchase orders.
  • Collaborate with the administrative team to provide seamless coverage during peak periods or absences.
  • Manage office resources, oversee scheduling through Outlook, and resolve conflicts related to room assignments.
  • Handle office logistics, including supply management, correspondence distribution, and incoming communications, ensuring smooth daily operations.

Working Conditions:

  • Prolonged periods of sitting at a desk, working on a computer with repetitive tasks.
  • Ability to open file cabinets, reach with hands and arms, bend, twist, and lift/move files.
  • Ability to lift up to 25 pounds.
  • Must wear required personal protective equipment (PPE) when necessary.
  • Must comply with workplace safety and security guidelines.

Qualifications:

  • Bachelor's degree or equivalent combination of education and experience.
  • Professional experience, including executive-level support.
  • Excellent written, verbal, and interpersonal communication skills.
  • Ability to handle confidential information with discretion.
  • Strong time management and multitasking skills, with the ability to adapt to shifting priorities and seek proactive solutions.
  • Ability to work independently and collaboratively, managing multiple tasks from start to finish with keen attention to detail.
  • Strong situational awareness with the ability to anticipate needs and navigate dynamic environments.
  • Experience coordinating cost-effective travel and meeting arrangements while optimizing schedules and budgets.
  • Proficiency in spreadsheets, databases, presentation software, and online communication platforms.
  • Highly skilled in Microsoft Outlook and Office Suite, with the ability to learn new software and systems quickly.
