Overview:

The Executive Assistant/Office Manager works independently with little to no supervision completing a wide range of executive and office support related duties, sensitive assignments, projects, and reports in a confidential and professional manner. The Executive Assistant must be a highly resourceful team player, who is comfortable working in a fast-paced, fluid environment, sometimes under pressure, while remaining flexible, proactive, and efficient.

Description:
  • Works independently with a minimal need for guidance on a variety of projects.
  • Provides high-level administrative support and assistance to the CEO and other senior staff, to include but not limited to preparing special reports, organizing, and maintaining correspondence and records, following up on pending matters with limited or no direction.
  • Answers phone calls, screening when necessary.
  • Welcomes and directs visitors and clients.
  • Maintains administrative filing systems as assigned.
  • Performs clerical and administrative tasks including drafting letters, memos, meeting minutes, meeting summaries, invoices, reports, and other documents for senior staff.
  • Arranges travel and accommodation for executives and employees as directed.
  • Schedules and attends meetings on behalf of executives, takes meeting minutes, and records and distributes minutes and/or meeting summaries.
  • Receives incoming communication or memos on behalf of senior staff, reviews contents, determines importance, and summarizes and/or distributes contents to appropriate staff.
  • Performs office tasks including maintaining records and ordering office supplies.
  • Coordinates maintenance of basic office equipment.
  • Provides oversight, scheduling, and direction for office cleaning crew.
  • Performs additional duties as assigned by executives.
  • Performs other related duties as assigned.
Qualifications:
  • High School Diploma. (AS or BS Degree preferred)
  • Extremely proficient with Microsoft Office Suite or similar software with the ability to learn new or updated software.
  • Excellent verbal and written communication skills.
  • Excellent organizational skills and attention to detail.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Ability to function well in a high-paced and at times stressful environment.
  • Extensive knowledge of office administration, clerical procedures, and recordkeeping systems.
Additional Information:
  • 1st shift, 8am-5pm, Monday-Friday.
  • Fully onsite.
  • Designated parking space.
  • 1 step, onsite interview process.
  • This position won't have a ton of oversight, and they want/need someone who can work independently, has good initiative, etc.
Pay and Benefits

The pay range for this position is $26.00 - $32.00/hr.
