Job Description: Executive Assistant to the Regional Business Leader
Role Overview: We are looking for a dynamic and energetic Executive Assistant to be based at our NJ location in the Princeton Metropolitan Area.
In this key role, you will be the right hand to our Regional business leader, providing day-to-day support and assuming project management responsibilities within the department. You will manage travel, expenses, and scheduling for the Regional President, while also supporting event management, presentation development, and data analysis as required. Working in a collaborative team environment, you will partner seamlessly with other executive assistants providing support to our executive team and their guests.

Your ability to learn on the fly and make sound decisions is essential to your success and the success of the team. This role offers fantastic exposure and development opportunities. Must be flexible on hours and able to support remotely.
This is a hybrid position; 3 days at the office is required.
Key Responsibilities:
- Heavy calendar management: coordinating and scheduling internal and external meetings, resolving conflicts.
- Coordinate meetings including booking conference rooms, confirming attendees, catering, agendas, and preparing meeting materials.
- Ensure the Regional President is prepped and prepared for all meetings, support debrief and follow-up action item collection and execution.
- Develop and maintain strong relationships across teams, especially at the executive leadership level.
- Create and manage complex international travel schedules and complete expense reports.
- Resolve inquiries with appropriate team members and ensure timely response to urgent issues.
Required Skills:
- Excellent interpersonal, written, and verbal communication skills.
- Advanced skills with Microsoft Office (Word, Excel, and PowerPoint).
- Ability to manage multiple high-level projects simultaneously and prioritize activities appropriately.
- Ability to demonstrate composure and self-confidence in difficult situations.
- Exceptional organizational skills; experience coordinating projects, setting priorities, meeting deadlines, and following up on assignments with minimum direction.
- Self-starter; ability to work with minimum supervision.
- Ability to learn quickly in an environment where all the information may not be clear.
- Ability to handle sensitive, highly confidential information.
- Strong interpersonal skills and ability to build relationships with stakeholders, including peers, board members, customers, etc.
Required Experience:
- Bachelor's degree.
- 5+ years of experience in an Executive Assistant role;
- Prior experience with complex travel coordination.
- Experience and consistent performance in deadline-oriented environments due to tight time restraints and volume of work.
