Executive Assistant About the job The Administrative Assistant in Consumer Healthcare Marketing will support the Chief Marketing Officer and will be an essential marketing team member to help the brands/marketing organization run smoothly. The Administrative Assistant will coordinate schedules, manage calendars, organize meetings, prepare expense reports, arrange travel, maintain and create spreadsheets, assist in opening purchase orders, and prepare communication for those assigned ensuring all business support is appropriately covered within the marketing organization.

Main responsibilities: - Be responsive to all forms of communication (phone calls, email, IMs, texts) to ensure clear communication across the team and with key managers.
- Coordinate calendars of assigned team members including staying on top of meeting requests, changes to meetings, and rescheduling of meetings.
- Coordinate meetings to include securing conference space and arranging meals and supplies, and preparing agendas
- Coordinate business travel for assigned team: hotels, flights and rental cars.
- Prepare expense reports for assigned team members
- Understand business policies supporting travel and expense in order to advise team.
- Complete forms to open purchase orders for the brand team and work with Finance to ensure documentation follows the Finance process.
- Perform general office duties such as ordering supplies and keeping files organized.
- Type reports, emails, and meeting notes as needed to distribute information to team to ensure good communication.
- Assist other administrative staff members as necessary.
- Files and retrieves corporate documents, records, and reports; maintenance of electronic and required paper files.
About you - Experience: 3+ years of administrative experience. Proficient in Microsoft Office Software (Outlook, Excel, Power point, Word) and expense reporting.
- Soft and technical skills: Strong interpersonal/teamwork skills; ability to maintain confidentiality. Good verbal and written communication skills; strong grammar and punctuation skills. Strong organizational, time management and problem-solving skills; ability to self-initiate/work autonomously when needed. Experience working in brand management/marketing is a plus. Ability to work overtime when necessary to meet deadlines.
- Education: High school diploma required; college degree preferred.
