Job Summary

The executive assistant is responsible for providing administrative support for designated member(s) of the senior management team and/or executive officers. This position produces high-quality, professional support that is accurate, complete and fulfills the intended purpose for presenting a positive image to employees and customers. This position will coordinate and manage executive scheduling, prepare meeting materials, develop and distribute reports, and assist with a variety of other administrative support tasks. Due to the nature of this position, must maintain a high level of confidentiality.

Responsibilities
  • Assist with the preparation of agendas, reports and presentation materials to be included in various meetings. Attend meetings and record meeting minutes as needed.
  • Assist the Executive Officers and other officers of Bell Bank in expediting service to the customer.
  • Assist with company event planning and community involvement opportunities.
  • Assist with administrative and word processing projects for executive officers.
  • Schedule meetings, maintain calendar(s) and assist with email inbox management through Microsoft Outlook.
  • Prepare, analyze and distribute reports, ensuring accuracy and timely delivery for various bank groups, including board of directors and executives.
  • Arrange meeting space, food and beverages for various group meetings when needed.
  • Provide telephone coverage for the administration officers and handle such calls in a professional and courteous manner.
  • Coordinate and book travel arrangements within company guidelines.
  • Submit invoices for payment and complete expense reimbursements.
  • Coordinate and participate in various off-sites, meetings and conferences.
  • Monitor and manage subscription and organization membership renewals.
  • Facilitate the distribution of event tickets to customers (sports, concerts, theater, etc.).

Education, Experience, and Other Expectations
  • Bachelor's degree preferred.
  • Three years of experience in providing administrative support to management in a corporate environment preferred.
  • Knowledge of accounting procedures and financial reporting practices preferred.
  • Proven experience taking direction from multiple sources and supporting individuals that are onsite and remote.
Skills and Knowledge
  • Proficient computer navigation skills using a variety of software packages including Microsoft applications such as WebEx, Word, Excel, and PowerPoint.
  • Strong and effective verbal and written communication skills.
  • Excellent organizational and time management skills with high attention to detail and accuracy.
  • Excellent analytical, decision-making and effective problem resolution skills.
  • Ability to work productively and efficiently with limited supervision.
  • Ability to manage and multitask in a high-volume work flow with multiple priorities, interruptions and possible short-term deadlines.
