Job Description:
This hybrid Executive Assistant / Office Administrator role supports one managing partner and ensures the smooth daily operation of the office. It's a great opportunity for a motivated individual eager to take ownership of both administrative and operational tasks, grow within the organization, and work closely with decision-makers in a dynamic environment.
Key Responsibilities:
- Manage full calendars, schedule internal and external meetings, and coordinate travel arrangements.
- Prepare and reconcile monthly expense reports using tools such as Concur.
- Support leadership by anticipating needs and ensuring meeting and event logistics run smoothly.
- Handle general office management tasks such as supplies, mail, kitchen upkeep, and liaising with vendors.
- Coordinate with building management and maintain a clean, organized, and welcoming office space.
- Assist with onboarding/offboarding, team events, and special projects across departments.
- Participate in firmwide initiatives and operational improvements with internal teams.
Qualifications:
- 4+ years of executive assistant experience preferred; open to high-potential, early-career candidates with the right attitude.
- Previous experience supporting senior leadership and managing administrative operations.
- Organized, detail-oriented, and able to multitask in a fast-paced environment.
- Excellent emotional intelligence and communication skills.
- Proficient in Microsoft Office; experience with expense platforms like Concur is a plus.
- Comfortable with a structured EA role (not a personal assistant).
