Position Summary:
We are looking for a proactive, highly organized, and experienced Executive Assistant to support our Business Operations team. This role is ideal for someone who thrives in a fast-paced environment, can manage multiple priorities with precision, and brings exceptional attention to detail and discretion. The successful candidate will possess strong technical proficiency, excellent communication skills, and a collaborative mindset, enabling them to interact effectively across all levels of the organization, as well as with external partners and vendors.
Key Responsibilities:
- Provide comprehensive administrative support to the Business Operations leadership team, including managing schedules, resolving day-to-day challenges, and addressing business priorities.
- Manage sensitive and confidential information with the utmost professionalism and discretion.
- Maintain and coordinate executive calendars, organize meetings, and prepare internal and external correspondence.
- Schedule and coordinate meetings, including preparing agendas, materials, and briefing documents.
- Communicate effectively-both verbally and in writing-while representing the executive team in a professional manner.
- Proactively prioritize and manage multiple tasks, resolving issues and ensuring projects are completed with efficiency and accuracy.
- Deliver exceptional service to both internal and external stakeholders with a positive, solution-oriented approach.
- Coordinate domestic and international travel, process accurate and timely expense reports, and handle general administrative processes.
- Support projects through effective coordination, tracking, and timeline management.
- Anticipate potential roadblocks and offer creative, strategic solutions.
- Ensure accuracy and consistency in all tasks with a detail-focused approach.
- Collaborate with other departments and contribute to cross-functional initiatives.
- Plan and manage logistics for hospitality events, game days, and high-profile engagements.
- Maintain flexibility in scheduling, especially during peak times such as Spring Training and the MLB season.
- Take on additional responsibilities as needed in support of team and organizational goals.

Preferred Education & Experience:
- Bachelor's degree in Business Administration or a related field, or equivalent work experience.
- Minimum of 5 years of experience in an executive assistant role, preferably supporting C-level leadership.
- Previous experience in the Sports, Entertainment, or Hospitality industries is strongly preferred.
