ALEXIS is seeking a highly organized, resourceful, and polished Executive Assistant to support our CEO & Creative Director.


This role demands impeccable attention to detail, the ability to anticipate needs, and the agility to manage shifting priorities under pressure.


As a trusted right hand to the CEO and founders, you will oversee high-level communications, and critical business operations in a high-expectation, high-stakes environment where tight deadlines and adaptability are the norm.

Key Responsibilities


Executive Support & High-Stakes Schedule Management

  • Own and optimize the CEO's calendar, ensuring seamless scheduling of meetings, key deadlines, and business-critical commitments while maintaining accurate records of crucial dates.
  • Proactively manage time and priorities, balancing competing demands with precision and efficiency.
  • Coordinate all travel arrangements, handling itinerary changes and last-minute adjustments with discretion.
  • Anticipate and organize upcoming events and engagements, ensuring seamless execution based on the CEO's schedule.

Talent Acquisition & Hiring Oversight

  • Scout, evaluate, and secure top talent across all departments, ensuring alignment with company needs.
  • Maintain accurate logs of strong candidates for future opportunities and proactively seek potential replacements for key roles.
  • Implement cost-effective recruitment strategies, identifying the best methods for attracting top-tier talent.
  • Review and negotiate recruitment agency contracts to ensure the most competitive terms.
  • Manage interview coordination, candidate evaluations, and follow-ups with efficiency and professionalism.
  • Proactively source qualified interns for each department, identifying emerging talent to strengthen the team.
  • Oversee all aspects of onboarding, including paperwork, healthcare applications, relocation assistance, and travel logistics for interviews.
  • Stay ahead of industry trends and top talent movements, ensuring ALEXIS remains competitive in attracting the best professionals.

High-Level Communication & Stakeholder Liaison

  • Serve as the CEO's first point of contact, filtering and prioritizing all internal and external communications.
  • Draft and manage confidential correspondence on behalf of the CEO.
  • Act as a gatekeeper, escalating urgent matters and deflecting non-essential distractions.

Project Execution & Critical Business Support

  • Oversee and drive the execution of high-impact projects, ensuring strict adherence to deadlines, budgets, and strategic goals.
  • Collaborate with cross-functional teams to maintain operational efficiency and streamline execution.
  • Take full ownership of event planning and execution for all company-related events, ensuring seamless coordination and flawless delivery.
  • Assist in store buildouts and openings, managing contractors and vendors to ensure timely execution, quality control, and material approvals.
  • Support brand initiatives and project-based activations, ensuring alignment with business objectives and creative vision.

Administrative Operations & Office Management

  • Oversee expense reports, contract reviews, document control, lease agreements, and executive administrative tasks with precision and accuracy.
  • Manage employee onboarding, insurance contracts, background checks, and compliance documentation, ensuring seamless operations.
  • Resolve disputes, support teams, and coordinate vendor management to maintain smooth business functions.
  • Maintain strict calendaring of key dates and deadlines, proactively tracking critical business milestones.
  • Handle sensitive information with the highest level of confidentiality and professionalism.
  • Ensure daily office operations run efficiently, addressing any challenges with a proactive, solution-oriented approach.

Qualifications & Skills Required

  • 7+ years of Executive Assistant experience in a fast-paced, high-pressure environment, preferably within fashion, luxury, or creative industries.
  • Proven ability to manage high-stakes schedules, complex logistics, and demanding priorities.
  • Exceptional communication skills, with the ability to navigate VIP interactions and high-level stakeholder relationships.
  • Mastery of Microsoft Office, Google Workspace, and project management tools.
  • Highly organized, resourceful, and able to think three steps ahead.
  • Discretion and professionalism in handling confidential matters.
