Job Summary We are seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative support to the President. The ideal candidate will possess exceptional communication skills, a strong attention to detail, and the ability to manage multiple tasks efficiently. This role is pivotal in ensuring the smooth operation of our office and supporting our executives in achieving their goals. Direct hire, located in Long Beach, offering $70-85K
Duties- Manage executive calendars, including scheduling appointments, meetings, and travel arrangements using tools such as Google Suite and Outlook Calendar.
- Serve as the primary point of contact for internal and external communications, demonstrating professionalism and discretion.
- Prepare and edit correspondence, reports, presentations, and other documents as needed.
- Maintain organized filing systems and ensure all documents are easily accessible.
- Assist with bookkeeping tasks using QuickBooks, including invoicing and expense tracking.
- Provide front desk support when necessary, greeting visitors and managing incoming calls.
- Collaborate with other administrative staff to enhance office efficiency and workflow.
- Perform additional duties as assigned to support the executive team.
Experience- 5+ years proven experience as an Executive Assistant supporting C-level executive
- Proficiency in Google Suite applications (Docs, Sheets, Drive) and Microsoft Office Suite (Word, Excel).
- Willing to travel is required
- Non-Profit experience preferred
- Strong computer literacy with the ability to quickly learn new software applications.
- Experience with calendar management and scheduling tools is essential.
- Previous experience in a personal assistant role is a plus but not required.
- Excellent organizational skills with the ability to prioritize tasks effectively.
- Strong written and verbal communication skills are crucial for this position.
