Who We're Looking For We are seeking a highly organized and proactive Executive Assistant to support the EVP of Revenue and the VP of Enterprise Sales. This role requires exceptional attention to detail, strong problem-solving abilities, and the capacity to manage multiple priorities in a fast-paced environment. The ideal candidate will be adept at anticipating needs, ensuring seamless scheduling, and facilitating efficient communication across global time zones. Additionally, the candidate must be highly adaptable and skilled in managing and adjusting to two distinct work ethics and structures, ensuring smooth collaboration and efficiency for both senior leaders.
Key ResponsibilitiesCalendar Management: - Efficiently coordinate and adjust calendars for two senior leaders across various global time zones.
- Schedule and optimize internal and external meetings, ensuring proper formats and time allocations.
- Communicate professionally with external partners, customers, and C-suite executives and their teams, often on behalf of the senior management.
Sales Management Support: - Populate sales content for relevant company presentations.
- Help reply to select emails from clients.
- Manage LinkedIn messages as required.
- Assist in the preparation and distribution of sales contracts, proposals, and agreements.
- Coordinate with the sales team to ensure timely responses to client inquiries.
Travel Management: - Research, organize, and book comprehensive travel arrangements, including flights, accommodations, ground transportation, and dining reservations.
- Modify or cancel bookings as needed to accommodate schedule changes.
- Maintain and manage traveler profiles to ensure seamless booking processes.
Internal Event Planning: - Coordinate onsite gatherings, in-person meetings, and corporate celebrations.
- Plan and manage holiday parties and team dinners.
Office Management: - Oversee general office operations, ensuring a well-organized and efficient workplace.
- Manage office supplies, ordering and restocking as necessary.
- Coordinate with facility management for office maintenance and improvements.
Miscellaneous Administrative Support: - Research and coordinate business-related gifts upon request.
- Provide ad hoc administrative support as needed to enhance operational efficiency.
