The Executive Assistant is an integral member of the Executive Leadership Team, who proactively provides administrative and organizational support. They will play a crucial role in facilitating the executive leadership team's effectiveness, managing administrative tasks, and ensuring smooth operations within the organization. They will serve the executive leadership team by offering full support for incoming and outgoing communications with internal/external stakeholders, calendar management, travel arrangements, meeting preparation, presentation and financial statement preparation, records organization and management, and will manage day to day priorities as a assigned to assist, support, guard and empower their leader(s) to operate at full strategic capacity.
Roles and Responsibilities: - Assists Executive Leader(s) and provides full support for all incoming and outgoing communications with internal/ external stakeholders.
- Responsible for managing Executive Leader(s) Calendaring for all meetings, including coordinating large-scale meetings across the Health System and with external parties as identified and coordinating travel and overnight accommodations.
- Responsible for being the face of the Administrative Office of the Health System, greeting people with a professional and customer service focus.
- Assist with coordination, preparation, editing and submission of presentations, financial statements, and reports for meetings including but not limited to Board of Directors, Senior Leadership, etc.
- Organize and maintain confidential financial files and records.
- Onboarding preparation for new Directors to be managed by this position.
- Responsible for managing day-to-day priorities, challenges and all other duties as they arise and are assigned.
Required Skills and Experience: - Minimum of five (5) years of experience as an Administrative or Executive Assistant required.
- Must possess strong communication skills (written and oral) and ability to handle confidential information with discretion.
- Sound decision-making and judgment with the ability to think and act under pressure while consistently exercising discretion.
- Strong organizational skills needed, with an emphasis on self-motivation with ability to work without close supervision.
- Strong attention to detail and accuracy is critical.
- Requires a professional and sensitive manner with patients, visitors, employees, and medical staff.
- Advanced level experience in Microsoft Suite (Outlook, Word, PowerPoint and Excel), along with an understanding of data management using advanced Excel functions is required.
- Advanced level experience in Microsoft Visio required.
- Requires flexibility and occasional weeknight hours for health system events.
Preferred Skills and Experience: - Associates degree or Bachelor's degree in related field(s) such as Business Administration strongly preferred.
- Experience as an Administrative or Executive Assistant in the Healthcare field preferred.
Physical Requirements: - Repetitive use of hands and sitting for long periods of time.
- May require light lifting and carrying, including boxes, equipment, stooping and kneeling, maybe required to lift up to 30 pounds.
Location, Travel and Shift Requirements: - Location: Cayuga Health Administration Building at 767 Warren Rd, Ithaca, NY 14850
- Travel Requirements: 5-10% travel can be expected in this role
- Shift: Full-Time Days, Monday through Friday 7:30am-4:00pm or similar, with flexibility for occasional weekends if required
- Hybrid Work Schedule, required to be onsite 2 to 3 days per week
Pay Range Disclosure: - Standard Rate of $59,800 to $79,800 per year plus benefits
