How you will contribute

The Executive Assistant functions as the key administrative support person in the management, coordination, and implementation of operations.

The Executive Assistant will provide comprehensive support to a team based in Houston, focusing on invoicing, client engagement, department activities, and personnel matters. This position will be a hybrid position with 3 of days in the office.

Responsibilities:
  • Prepare monthly management and financial reports, including accounts receivable, work in progress, invoicing, payment tracking, and client communications regarding collections.
  • Submit expense reports through Concur and reconcile corporate credit card statements.
  • Submit weekly timesheets.
  • Perform internal administrative tasks for client projects, such as drafting conflict checks and setting up and closing project codes.
  • Help prepare administrative materials for internal practice meetings.
  • Coordinate and book travel plans, including airlines, hotels, and car service.
  • Arrange in-office meals for clients and internal meetings.
  • Provide general administrative support (e.g., copying sensitive files, binding, answering phones) and project-specific assistance.
  • Assist with department activities, projects, ad hoc requests, and other work-related duties as assigned.
  • Coordinate calendars to avoid conflicts and ensure scheduled events are respected.
  • Work closely with staff to keep the team informed of upcoming commitments and responsibilities, following up as appropriate.
  • Research, prioritize, and follow up on incoming issues and concerns to determine the appropriate course of action.
  • Facilitate smooth communication between internal and external groups and provide guidance to additional support personnel.
  • Schedule and organize meetings, conference calls, events, and other departmental activities.
Qualifications:
  • A Bachelor's Degree in a relevant field of study (a degree in a business-related field is a plus) is preferred but not required.
  • 3+ years of experience as an Executive Administrative Associate or Executive Assistant in consulting, professional services, accounting, or a law firm.
  • Comfortable preparing client invoices, completing expense reports, and reconciling credit card statements.
  • Experience with legal cost billing systems (e.g. Counsellink ) is a plus.
  • Highly proficient with Microsoft Office Suite: especially work with Excel; Word, Outlook, and PowerPoint.

The salary range is $70,000 - $90,000 annually, dependent on several variables including but not limited to education, experience, skills, and geography. In addition, A&M offers a discretionary bonus program which is based on a number of factors, including individual and firm performance. Please ask your recruiter for details.
