We are seeking a highly organized and proactive Executive Assistant to support our executive leadership team. Reporting directly to the General Counsel, this individual will work closely with executives across the organization, ensuring seamless administrative support and an efficient environment.


Key Responsibilities


Executive Support:

  1. Provide high-level administrative support to the CEO and the President as well as the CFO and General Counsel.
  2. Manage complex calendars for executives in different locations, schedule meetings, and coordinate travel arrangements.
  3. Schedule regular reporting meetings between executives and senior management groups.
  4. Prepare and edit correspondence, presentations, reports, and other documents.
  5. Handle critical confidential and sensitive information with discretion and professionalism.
  6. Handle electronic expense reimbursement tasks.
  7. Act as a liaison between executives, employees, and external stakeholders.
  8. Interact directly with the Board of Directors on various administrative tasks.

Project & Administrative Coordination:

  • Support special projects and initiatives as assigned by the CEO and President as well as the CFO and General Counsel.
  • Coordinate board meetings, executive meetings, and other high-level engagements.
  • Supervise receptionist in fulfilling reception and office management-related duties for the Houston office.

Qualifications & Experience

  • 5+ years of experience in an Executive Assistant role supporting senior executives.
  • Experience working in a corporate environment, preferably in a publicly traded company.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with office management software.
  • Exceptional organizational skills with the ability to multitask and prioritize in a fast-paced environment.
  • Excellent written and verbal communication skills, with a high degree of professionalism.
  • Strong problem-solving abilities and attention to detail.
  • Ability to work independently and handle confidential matters with discretion.
  • Experience coordinating executive meetings and managing travel logistics.
  • The scope and complexity of this position requires discretion and independent judgement.

Preferred Qualifications:

  • Prior experience in a publicly traded company or working with C-Suite or Board of Directors is highly desirable.
  • Bachelor's degree in business administration, Communications, or a related field preferred.
