Purpose: We are seeking a highly organized and proactive Executive Assistant to support our executive team, specifically including our President & Chief Operating Officer, as well as other key operations leadership, with managing their day-to-day activities and ensuring smooth operations within the organization. In addition to supporting our executive team, this Executive Assistant will support Executive Client Relationship efforts and the Parkhurst Brand with administrative tasks. The ideal candidate will possess exceptional communication skills, time management, planning and execution, organization skills, attention to detail, and the ability to handle confidential information with discretion.
Job Responsibilities: - Administrative Support: Provide comprehensive administrative support to the executive team, including managing calendars, scheduling meetings, and arranging travel itineraries.
- Client Relationships: Scheduling of executive client meetings, coordination and scheduling of client engagement events, critical client communications, and maintenance of CRM system.
- Communication Management: Serve as the primary point of contact for internal and external communications, screening and prioritizing emails, phone calls, and other correspondence.
- Document Preparation: Draft, proofread, and edit correspondence, presentations, reports, and other documents as needed.
- Meeting Coordination: Coordinate and organize meetings, conferences, and events, including booking venues, preparing agendas, and distributing materials.
- Information Management: Maintain organized filing systems, both electronic and physical, ensuring easy retrieval of documents and information.
- Expense Management: Track and reconcile expense reports, invoices, and other financial documentation in a timely manner.
- Project Support: Assist in the planning, execution, and follow-up of various projects and initiatives led by the executive team.
- Confidentiality: Handle sensitive and confidential information with discretion and professionalism.
- Relationship Building: Foster positive relationships with internal and external stakeholders, representing the executive team professionally at all times.
- Ad Hoc Tasks: Perform additional tasks and projects as assigned by the executive team to support overall organizational objectives.
Knowledge and Experience Requirements: - Bachelor's degree in business administration, hospitality management, or a related field preferred.
- Proven experience as an executive assistant or similar role.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
- Exceptional organizational and time management skills, with the ability to prioritize tasks and meet deadlines effectively.
- Strong interpersonal skills and the ability to communicate confidently and diplomatically with individuals at all levels.
- Discretion and confidentiality in handling sensitive information.
- Adaptability and willingness to take on new challenges in a fast-paced environment.
- Attention to detail and high level of accuracy in all work performed.
